Purpose of Position
This position is responsible for providing support and customer service to the Office of Extended Learning Coordinators and Directors. The Customer Service Specialist will also provide office support, scheduling, minute-taking, supply ordering, inventory, and correspondence. In addition, this position will also work closely with instructors, students and third-party vendors for all OEL programs to ensure their needs are met.
Duties & Responsibilities
Provide customer service and program support to the OEL coordinators and directors, OEL students, OEL instructors, and third-party vendor representatives
Answer phone calls, answer inquiries and direct calls as needed
Provide support to each of these specific program areas through general and specific tasks:
Nutrition and Foodservice Professional Training Program (Dietary Managers/DM):
Maintain, order, organize and disseminate the correspondence curriculum.
Assist with the Blackboard LMS course management.
Assist students and instructors with Blackboard questions.
Disseminate payroll information to course instructors.
Disseminate attendance rosters to our instructors.
Organize and disseminate certificates of completion for all our Nutrition and Foodservice students, which may include verifying grade, providing a transcript, completion letter and certificate of completion.
Maintain students’ records by entering documents into Perceptive Content.
Record correspondence by mail lessons into Enrole.
Maintain student information in Enrole: adding preceptors, notifying students when course materials have been mailed and when certificates have been sent.
Professional Development for Educators (PDE):
Manage portions of the credit approval process.
Disseminate rosters and credit registrations.
Maintain online course listings.
Monitor contract end dates.
Manage the PDE Credit Application.
Organize and disseminate learning events that are multi-campus, by sharing roster information with the liaison school.
Organize and disseminate information on cumulative credits two weeks prior to the end of the learning event, so the instructor is aware of the closing date and informed about who has signed up for credit.
Conferences, Camps and Events:
Provide support and customer service for all conferences, camps and events that fall under the purview of the Office of Extended Learning.
Assist with setting up conferences, camps and events into event software.
Assist on site if required by Coordinators.
Personal and Professional Development (PPD):
Provide customer service to students, instructors and vendors as needed.
Assist with duties related PPD courses, including third party vendor courses and UND- hosted, UND-instructed courses.
Manage administrative duties for the OEL team.
Schedule monthly meetings with the Associate Director and each direct report
Schedule monthly OEL Team Meetings and distribute agenda.
Schedule monthly OEL Budget Meetings.
Prepare and distribute agendas, as needed.
Take minutes during meetings, as needed.
Assists with mailing tasks.
Order supplies and manage office supply inventory for OEL/TTaDA
Compile and set up document to track contracts for PDE, DM, Real Estate and PPD, and enter a reminder in the Coordinator’s calendars when contracts for due for yearly approval and/or contract review.
Provide administrative oversight for the SODEC Meetings for Executive Director
Participate as an active team member within the Office of Extended Learning and the University as a whole.
Attend professional development activities as appropriate and in balance with work responsibilities.
Demonstrate to others the professional conduct expected of all Extended Learning team members.
Work with other OEL team members to create timelines, procedures, and processes that can improve efficiencies and overall OEL team cohesiveness.
Maintain a high level of productivity.
Other duties as assigned by Director, Associate Directors, and Coordinators.

Minimum Requirements
Associate degree and two years directly related experience in administrative, clerical, or
related field; OR High School diploma with 5 years of administrative/clerical experience.
Computer experience with email, word processing, internet, Microsoft Office Suite and database software.
Experience working with the public in a customer service role.
Successful completion of a Criminal History Background Check

Preferred Qualifications
Experience with Blackboard or other course management system.
Experience with PeopleSoft.
Experience in higher education.
