Job Description

Responsibilities:

Primarily completion of tasks related to ensure grants, contracts, research awards, and research projects (“projects”) are completed from the initial proposal development stage to the project close-out stage. Responsible to comply with University policies, University requirements, and federal research regulations and requirements to ensure projects are compliant with all requirements and regulations. The position provides research administration duties to faculty and staff at the UMKC School of Medicine and UMKC School of Nursing and Health Studies on a variety of projects.

Duties:

  • Prepare PeopleSoft Pages (University Proposal Signature Routing Sheets) for UMKC School of Medicine (SOM) and School of Nursing and Health Studies (SONHS) department approval of grant proposals.
  • For grant proposals with subcontracts, connect with subcontracting agency to obtain required University information for grant submission and add subcontract information for University PeopleSoft Pages or project set-up.
  • Run grant project expense query to obtain University data for creating grant expense reports that includes project balances. Provide expense reports to project staff.
  • Complete grant award checklists in University Webapps to comply with University requirements on project expenditures.
  • Tracks and records payroll distribution on University grant award to comply with sponsor’s requirements, proposal information, prevention of overspending, and to monitor cost-share as required by federal regulations and sponsors’ requirements.
  • Request payroll distribution changes for staff on grant awards in accordance with individual’s project effort.
  • Request federal required salary cap cost-share tracking and account MO codes to comply with sponsors’ requirements.
  • Request payroll correcting entries (PCEs) for individuals paid on grant awards as necessary and appropriate.
  • Prepare invoices and invoice information for projects.
  • Prepares additional project reports as directed or requested.
  • Track completion of individuals’ University bi-annual effort verification reports (EVRs). Request PCEs as necessary to ensure EVRs are compliant.
  • Create non-PO vouchers to pay expenses on University project accounts.
  • Process consulting agreements with individuals for UMKC grant awards.
  • Create faculty N:/ folders to maintain project details including proposal and PeopleSoft Page information, invoices, project effort, salaries, cost-share, and other project information including payment of subcontract invoices and subcontract agreements.
  • Contact SOM hospital affiliates for annual research and grant/contract financial information to complete the SOM’s annual LCME report. Prepare and obtain annual SOM grant and contract information for LCME report purposes. Provide LCME grant and award expenditure info to SOM.
  • Process research application forms for projects by University faculty, residents, students, employees and workforce members at University affiliate institutions. Ensure project is approved and that the University Compliance committee, e.g., UMKC Institutional Review Board (IRB) has approved the project. Check project information in the UMKC IRB electronic submission site.
  • Serve as an administrator and log-in to Collaborative Institutional Training Initiative (CITI) website to check individuals CITI course training status and save the CITI certificate(s) to faculty and project folders.
  • Reviews and suggests updates to Research Administration websites including Sarah Morrison student research award site.
  • Provides students and mentors Sarah Morrison Student Research Award expense reports and project award balance.
  • Contacts students that have Sarah Morrison Awards to provide annual progress report by University deadline. Upload progress reports for viewing by faculty advisory team.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Previous research administration experience or project management experience.

Successful applicants will be customer-service focused professionals, who are known for their ability to multitask in a fast-paced environment with schedule flexibility and are adaptable to change.

Successful candidates will be highly organized, detail oriented, focused on University success, provide accurate and timely information and dedicated to maintaining confidentiality.

Demonstrated use of Excel and excellent problem-solving skills.

Salary

Up to $21.00 per hour, commensurate with education, experience, and equity.

Shift

Monday - Friday, 8am - 5pm, Flex Schedule Available
