Responsibilities*

This is a grant-funded position. This position is term limited and will start with a one-semester term with the option for renewal.

Student team members may be asked to perform the following tasks.

Event and Program Planning

  • Support all logistical aspects of event planning such as effective tracking of attendees, venue confirmation, assist with flyer and brochure creation, key equipment reservation, presenter confirmation, sign in sheet creation, and securing vendors.
  • Consult with leadership to ensure all event / program logistics are meeting program standards and expectations.
  • Responsible for set up and close out of events throughout pre-during-post stages.
  • Assist in creating first year experience curriculum, practices, and experiences to deliver high quality programming for both group session and individualized communications.
  • Display multiple learning styles to ensure audiences take away valuable content and meaningful impacts.
  • Assess the quality of programs and events, document attendance, and feedback.
  • Assist with other events.

Welcome Desk Coverage (as necessary)

  • Remain up-to-date with all communications across the office ranging from front desk coverage, program calendars (e-version and physical boards), and daily front desk procedures.
  • Answer, transfer, and provide high-quality services to community stakeholders seeking to contact staff members or clarify details about any event.
  • Ensure equipment and resources are stocked daily and relay key updates to the administrative assistants and / or staff throughout their shift.
  • Occupy internal partner (e.g. Student Success Center, Intercultural Center, etc.) desk coverage as needed.

File Management

Ensure all proper documentation is accounted for during all events such as presentation handouts, assessment forms, etc.

and process all documents as part of office records.

  • Support up-to-date management of student files by effectively and efficiently collecting, filing, and sorting key program documents.
  • Provide support to staff to compile or dispose of student files.
  • Work with the database management staff to ensure that all files are properly maintained and stored.

Communications / Marketing

  • Capture programming history (pictures, documents, presentation outlines) to help market key program events online and in print form.
  • Assist with the development of an overarching marketing and communications strategy for event promotion and closeouts.
  • Create and establish communications, for events in compliance with University Communications and Marketing guidelines.
  • Maintain and update all bulletin boards monthly in collaboration with other program staff.

Outreach

  • Represent the program at internal and external community spaces to provide awareness of the mission, programs, and goals of the program(s).
  • Serve as a liaison with community partners / campus departments.
  • Support all program recruitment efforts, community service, and university events.

Data and Assessment

  • Collect, analyze, and monitor quantitative and qualitative data to consolidate information and support program-wide data management.
  • Identify missing data and follow through with collection and / or clarifications.
  • Assist with developing and implementing meaningful, manageable, and sustainable assessment plans for delivered workshops and assignments.
  • Routinely collect data to provide to the database management staff member.
  • Communicate with database management staff member for tasks involving data collection, entry, and assessment.

Peer Mentoring

  • Engage program participants though an individualized, holistic, peer mentoring model as needed.
  • Compile campus and community resources to effectively respond to student needs.
  • Work and communicate with designated staff member to update and provide information regarding peer interactions.

Required Qualifications*

  • Currently enrolled at UM-Flint during the semester(s) employed
  • Adequate computer and writing skills
  • Must exercise a strengths-based approach in being sensitive, respectful, and understanding of the needs of economically and academically disadvantaged as well as ethnically diverse students
  • Ability to think critically and problem solve swiftly and responsibly
  • Maintain a professional appearance and character
