Summary

You will report to the Vice President for Student Life, and be an essential member of the Office of the Vice President's team located in Ann Arbor, MI. You will provide executive administrative support for the Executive Officer and Vice President for Student Life (VPSL) on matters of a visible and confidential nature. This position is located onsite, with some limited availability to work remotely.

Responsibilities*

Vice President's Calendar & Administrative Tasks (70%):

  • Schedule appointments and maintain the Vice President's complex electronic calendar using discretion and judgment.
  • Ensure regular schedule of recurring meetings with all VP's direct reports, Cabinet, student government leaders, and all Communities of Practice meetings.
  • Understand and plan ahead for needs of the VP, and ensure they have enough time for each meeting, travel time between sessions, time to debrief, and time for planning and breaks. Make judgments regarding cancellations, reschedules, and other changes.
  • Respond to questions and determine priority of calls from the President, Executive Officers, donors, and Regents. Obtain necessary background information for the VPSL, consulting with members of the VPSL staff and communicating important messages.
  • Prepare and compose routine correspondence (email and paper) and other documents for the VPSL.
  • Prepare and maintain meetings materials, agendas, file systems (electronic and paper) for correspondence signed by the VPSL, and other relevant materials.
  • Submit time-sensitive campus-wide email communications of urgent and important institutional matters on behalf of VPSL.
  • Field questions and advise VPSL units as needed.

Travel Arrangements (20%):

  • Manage extensive travel arrangements for the VPSL.
  • Submit timely travel expense reports/reimbursement follow-ups for complex travel needs.

Financial (5%):

  • Meet with Student Life Business and Finance staff regularly to review budget allocation and expenditures.
  • Participate in annual Gap Analysis for VP Student Life Dept.

Other (5%):

  • Represent the VP Student Life office as a member of the Ruthven Building Advisory Committee.
  • Assist Central Student Government leaders with submission of monthly targeted communications.

Required Qualifications*

  • Bachelors degree or equivalent combination of education and experience
  • Considerable experience performing administrative liaison work, particularly in university administration
  • 2 years minimum experience supporting senior leaders in an administrative role
  • Demonstrated professionalism as a member of a collaborative, respectful, and high-functioning team
  • Demonstrated experience and proficiency in Microsoft Office, Excel, PowerPoint, Google Docs, and other standard office software packages

Additional Information

Selected candidates whose start date is after 4/1/2024 or before 8/31/2024 will not be eligible for the university FY 24-25 salary/merit plan unless otherwise notified.

This role may have reporting obligations under Title IX and Clery.

Authorization to work in the U.S. is a precondition of employment and applicants for this position will not be sponsored for work visas.

Salary may vary depending on qualifications, experience, and education of the selected candidate.
