University of Michigan is Hiring an Events Scheduling Coordinator Near Ann Arbor, MI

Responsibilities*
STUDENT RECITAL, FACULTY RECITAL & DAILY SCHEDULING
  • Oversee the scheduling process for more than 300 Student Degree Recitals and Dress Rehearsals, which includes:
    • Upload and track sign-up slot capacities
    • Maintain records of eligible students to maintain the priority access of degree, co-curricular, and non-degree performances
    • Submit faculty notices for confirmation and approval
  • Upload and complete faculty event requests in preparation for the academic year, while ensuring data and formatting accuracy. This includes:
    • Schedule single-day faculty performances and events
    • Track annual and `access assured' requests from each department
    • Provide work-flow notifications for supporting staff offices, such as Marketing & Communications, Facilities, Piano Tech, and IT Services that will allow departments to understand next steps for production.
  • Upload and complete faculty and student rehearsal requests, which includes:
    • Ad hoc rehearsals, coaching's, or meetings
    • Recording projects
    • Student Non-Degree Recital and/or Co-Curricular Events
  • Monitor, respond, and manage the TDX ticketing system queue for scheduling requests. Create weekly reports for the Director to evaluate long-term trends and policies.
  • Review online and written policies to ensure posted information remains current and accurate across communication platforms.
SPECIAL EVENT & CONFERENCE SCHEDULING
  • In coordination with the Special Events Manager, upload and maintain details of complex events in the SMTD scheduling system.
  • Assist with tracking and managing the applications for Special Events.
  • Assist with creating work shifts and sign-up forms for student staffing for Special Events.
CONCERT PROGRAMS
  • Review concert program first, revised, and final drafts for individual student recitals and coordinate approval with students and faculty before submitting to the U-M Print Office.
  • Update and maintain the online templates for faculty and student use.
  • Submits archival concert programs to the Performance Librarian & Concert Programs Manager
Other
  • Manages the communications, minutes, and agendas for the Events Committee
Required Qualifications*
  • Minimum one year of experience with scheduling or proof-reading.
  • Demonstrated ability to remain calm and professional under pressure; ability to practice patience, affability.
  • Must have be highly dependable and exhibit a strong work ethic; show initiative and willingness to work independently and as part of a creative team
  • Must be very detail-oriented and able to work on multiple projects with competing short and long-term deadlines
  • Superlative communication skills in person, in writing, and on the phone
  • Demonstrated ability to work effectively with individuals from diverse communities and cultures
Desired Qualifications*
  • Bachelor's degree in Music or the equivalent is preferred.
  • Experience with Google Workspace is preferred.
  • Experience with ASIMUT or comparable scheduling software is preferred.
  • Experience with automated and/or email ticketing software is preferred.
Work Locations
This position will work regular business hours, and is not responsible for support on evenings or weekends. It offers a hybrid schedule and will require flexibility to the demands of having to be on campus during peak periods. The actual schedule will be determined by the Director of Concerts & Events.
