Position Summary / Purpose of Position : The Behavioral Health Program Administrative Specialist plays a crucial role in the efficient operation of our behavioral health office.

This position requires exceptional organizational, administrative, and interpersonal skills to ensure a smooth workflow, excellent patient experience, and effective communication within the office.

Performs high-demand office work at the front desk. Works for Mental Health and Substance Abuse clinicians and interacts with multiple clients with varying temperaments.

Minimum Qualifications : Education :

Bachelor’s Degree

Experience :

Four years experience in administrative staff work.

Required Knowledge, Skills, and Abilities :

  • Working knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information, working knowledge of analytical and statistical principles and techniques.
  • Skill in the use of office automation software and its applications, ability to establish and maintain effective working relationships, to handle sensitive materials with discretion and tact, to present ideas and information clearly and concisely, both orally and in writing;

to perform mathematical computations; to present statistical material in chart and graph form.

Ability to independently handle multiple tasks and set priorities.

Other : Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.   • Experience with computers and computer-based scheduling systems.
  • Experience with or familiarity with medical settings.
  • Ability to respond calmly to difficult people.
  • Excellent customer service skills, including pleasant and friendly telephone and reception manner. Team player, dependable, and reliable.
  • Ability to respond calmly to agitated or irritable people; ability to de-escalate angry or agitated people both in person and on the phone.
  • Able to interact with insurance companies for medication prior authorizations.

Additional Certifications : Additional Information : Essential Duties and Responsibilities

Essential Duty / Responsibility (1) : Serve as the administrative specialist for the behavioral health team. Manages patient records, ensuring accuracy, confidentiality, and compliance with relevant regulations.

Ensures patients are in the electronic scheduling system. Responds to general inquiries regarding clinical services, appointments, fee structure, and other general questions.

Assesses clients’ demeanor and uses de-escalation techniques if needed; alerts clinicians to possible problems.

Percentage (1) : 40%

Essential Duty / Responsibility (2) : Address patient concerns or issues promptly and professionally. Manage patient feedback and implement improvements to enhance client satisfaction.

Oversees appointments for patients on a computer-based scheduling system; Maintain schedules for up to 20 clinicians, including patient appointments, meetings, and others.

Advise the supervisor when there are difficulties with scheduling or with a client.

Percentage (2) : 40%

Essential Duty / Responsibility (3) : Works with the program director and other clinicians on tasks as assigned, such as managing patient experience, maintaining office equipment, and maintaining patient records.

Organize the office systems and take the vitals of patients who come to see the psychiatrist. Process prior authorizations for insurance coverage of medications.

Perform other duties as assigned.

Percentage (3) : 20% Job Risks Occupational Related Bloodborne Pathogen Exposure , Respiratory Protection Physical Demands Physical activity includes sitting at a desk, walking up to 150 feet to clinicians offices and records rooms, leaning, bending and light lifting.

Potential exposure to communicable disease by virtue of working in a health care facility.
