Job Description

General Summary

Under general supervision, provides and manages support services for assigned department. Responsibilities include researching, analyzing, and managing projects with departmental leadership in collaboration with clinical and administrative team members. Plans, develops and manages programs consistent with strategic goals and annual operating plans. Demonstrates leadership and commitment to organizational performance and achievement of organizational goals.

Description:

Planning, implementing, and overseeing a variety of activities and events both internally and with external partners. Aligning with and supporting existing and newly formed teams with purpose related to employee engagement, retention, as well as interfacing with community and partner organizations. Organizing events, activities, and educational opportunities to engage team members and external partners. Project management responsibilities across multiple programs helping to advance strategic initiatives and relationships. Examples of events and activities to include but not limited to:

  1. Scheduling and providing support to events in the Courtney Conference Center
  2. UM BWMC-wide celebrations (i.e. hospital week, spirit week, doctor’s day etc.)
  3. Employee Experience Committees activities and meetings
  4. Hospital recognition programs
  5. Service Awards event
  6. Annual Legislative and Community Leader Breakfast event
  7. Engagement with leader rounding

Responsibilities: 

  1. tracking project management,
  2. planning and leading activities,
  3. creating a schedule of events,
  4. staffing support for community and patient engagement,
  5. promoting activities to potential participants,
  6. collaborating with staff members,
  7. understanding requirements for each event,
  8. managing most event operations (preparing venue, invitations etc.),
  9. doing final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards,
  10. overseeing event happenings and act quickly to resolve problems,
  11. evaluating event’s success and submit reports

Skills:

Excellent organizational and communication skills, be able to work well in a team environment, and be creative in developing and organizing events

Ability to understand and translate organization priorities into action, develop plans, track outcomes and debrief stakeholders for continued and future engagement

Ability to represent the organization and its leaders with partner organization activities

Ability to identify future opportunities, develop proposals and present to leadership for approval then implement and measure success

Qualifications

Qualifications

• Baccalaureate degree from an accredited college or university in Business, Finance, Health Care Administration or a related field or equivalent, or 4 years of demonstrated experience required.

• Minimum of three years of progressively responsible planning, financial analysis, or strategy development experience. Healthcare-related background is preferred.

• Ability to judge the level of confidentiality of information / activities involved in and exhibit integrity in use and/or dissemination of such information.

• Advanced-level skill in spreadsheets (i.e., Microsoft Excel, SmartSheets), databases (i.e., Microsoft Access), word processing programs (i.e., Microsoft Word), graphic/specialty (ex: PowerPoint) and related software programs. Ability to teach others and act as a resource of expertise.

• Ability to develop and evaluate data via use of computer analysis.

• Excellent organization and problem-solving skills and team leadership skills are required to develop and implement efficient work processes. Ability to work in a stressful environment. •

• Ability to work effectively in a matrix work environment
