Job Description Summary:
Support pre- and post-award grant administration of a portfolio for a particular department/college or program. Work with faculty and staff to research, review and ensure grant proposals are compliant with institutional and sponsor policies, procedures, rules and regulations. Coordinate internal communication throughout the lifecycle of the award to ensure accurate and complete records are maintained.
Job Description:
This position coordinates internal communication throughout the lifecycle of the award to ensure accurate and complete records are maintained in both Workday and the Huron Research Suite for internal and external audits, as well as institutional reporting of research activities. This position reports to the appropriate administrator. Requires a bachelor's degree and one to three years of relevant experience. This position may use an educational equivalency as determined relevant by a hiring manager.
Job Description - Essential Duties
Responsibilities will include but are not limited to: assist with subrecipient monitoring; routing of subrecipient documents; collecting and reviewing any needed IACUC and IRB approvals; assist department in maintaining records in accordance with the record retention policy; and assist with month end close.
Award Set-up and Modification
Supports and troubleshoots communications for award modifications and administrative updates to the award record within the Huron Research Suite. QA review/submission of supplements, renewals, and continuations/progress reports to the sponsor
Reviews Notices of Award and creates the award record; coordinates budget reconciliation, if needed; creates/updates the deliverables schedule; reviews and identifies of special terms and conditions; coordinates documentation of compliance requirements.
Communicates with members of SPA teams (Award Specialists, Post-Award, and Contracts) as necessary to ensure accuracy and mirroring of award records between Workday and Huron Research Suite. Resolves issues as they arise and communicates the results to all parties. Process Improvement &
Other Duties as Assigned
Provides training and feedback to SPA staff, researchers, and departmental administrative contacts, including refining communication and interpreting sponsor guidelines, policies, procedures, rules, regulations, terms and conditions and in award management activities to support professional growth, as well as institutional research growth
Serves as a resource for other SPA staff, researchers, and departmental administrative contact in finding, interpreting, and updating WorkdProvides support for, and/or completes independently, projects involving reports, reviews, or correction of data in Workday or the Huron Research Suite.
Compliance Modifications: At the request of the PI/research administrator, the Sponsored Projects Officer/Administrator will communicate requests to remove restrictions and/or provide updates to ensure compliance with the award terms & conditions of the sponsor, making subsequent updates to the Huron Research Suite award record with communications and attachments once modification approval has been received and approved by the sponsor, as well as notifying the Post-Award administrator through the Huron Research Suite, as needed.
Recommends changes and presents ideas to improve communication, processes, accuracy, and customer service. Works closely with SPA team members to accommodate system upgrades and streamline processes
Attends training for new Workday systems, Sponsored Programs Administration trainings, and other KUMC trainings that benefit the employee, position, or department
Participates in information and planning meetings with research faculty, Department/School Research Director/Chair/Dean, and the Research Institute/Sponsored Programs Administration on key issues as related to pre-award and award management processes.

Required Qualifications:
Bachelor's degree in a relevant field of study (accounting, business or life sciences) or equivalent experience.
One to three years of relevant experience.
Preferred Qualifications:
Master's degree in a relevant field of study (accounting, business or life sciences).
Effective analytical skills
Ability to prioritize
Proficiency with programs such as Word, Excel, Adobe and Acrobat.
Outstanding customer service and communication skills.
