JOB SUMMARY
Under the general supervision of the Arts Division Operations Manager, the Building Coordinator is primarily responsible for the effective management of operations and facilities maintenance, safety issues and administration for a leased building off campus. This building is primarily occupied by the Arts Division's Institute of Arts and Sciences, which features a 6,500 square foot Art Gallery; it will also be home to other campus units and a shared seminar space. Coordinates physical operations for the building including but are not limited to: communicating with landlord, building occupants and other campus units, work orders, divisional moves, inventory tracking, space inventory, key control, telephone and network issues, health and safety issues, and campus and divisional emergency management services. Determines appropriate sources of data and information for interpretation, independently analyzes data, and provides advice and recommendations. Provides support in planning, initiating and implementing policy and procedure.

JOB DUTIES
25% -
Serves as the communication liaison between landlord, building occupants, campus units and management. Prepares building response plans and coordinates education and planning in this area for all building occupants. Provides facility related information to tenants including the proper operation of basic building systems, such as thermostat controls, lighting, access and custodial services. Maintains facility maps, usage and occupancy lists.

Responsible for the coordination and oversight of all facility support services including repairs and maintenance. Manages requests for space use in shared areas. Maintains basic user instruction for conference or seminar room systems and equipment in shared space.

Conducts regular periodic rounds to inspect areas for security, fire and accident hazards and takes appropriate action as required, including reporting infraction of fire and building codes, building rules and other building irregularities to management.

Provides oversight for student front desk reception and mail room duties (sorting mail & receiving packages/mail and managing copier, shredder, printer, supplies, mandatory postings, etc.)

Reviews facility project drawing or plans and reports building need compliance, errors or omissions to management, organization personnel and outside contractors.

Act as Building Coordinator for organization emergency / disaster preparedness for assigned venues. May act as representative of the organization's safety committee and the organization's building emergency committee. Is responsible for building compliance with OSHA / EH&S regulations regarding state and organizational policies and procedures, and works to implement safety and emergency preparedness policies and procedures with staff, including maintaining first aid supplies, fire extinguishers and other safety equipment.

Works with onsite contractors and other vendors to coordinate work schedules, facilitate emergency access and track progress of work. Purchases supplies and supervises small scale building renovation projects.

Serve as building's access key controller as defined by the UCPD Access Control Polity, maintaining accurate records of all access control activates ensuring appropriate authority prior to issuing keys, ordering replacement keys as needed, recovering department keys from departing personnel, reporting any failure to recover access control keys to department management and UCPD and security storing unassigned keys in the department's UCPD approve cabinets.
REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Working knowledge of practices and procedures relating to facility maintenance.
  • Written communication skills sufficient to prepare for a variety of correspondence, reports, policies and procedures and training documents.
  • Active Listening, interpersonal communication and problem-solving skills to effectively resolve questions, concerns, issues or problems and ensure cooperative and productive working relationships.
  • Skills to work independently and as part of a team.
  • Working organization skills to work on multiple projects with competing deadlines, to establish goals and workload priorities, and to meet project deadlines.

SPECIAL CONDITIONS OF EMPLOYMENT
