Departmental Overview
This position is on the Student Affairs Administration team, part of the central Student Services group that provides services and support to all 40 departments in the Division of Student Affairs.
Student Affairs Administration (SAA) supports the division in making data- driven decisions, fostering a supportive learning environment, and maximizing resources. We do this by focusing on systems, processes, and procedures as well as data analytics, process improvement, internal controls, and structured learning and development opportunities. SAA provides administrative, human resources, project management, analytical, strategic, and organizational support through targeted projects, division- wide initiatives, and representation in campus organizations. We collaboratively create solutions to increase staff engagement, enhance administrative efficiency, and enable teams to
focus on their functional areas of expertise in order to maximize their support of students. We provide consulting and training that improves skills, knowledge, equitable access to opportunity, and leadership accountability; and strategically manage all Human Resources functions at the divisional level.

Responsibilities
COORDINATES ESTABLISHED DIVISION-LEVEL PROGRAMS AND PROCESSES:
SPOT AWARDS - Coordinates Spot program planning and collaboration with divisional award administrators and SA Executives. Ensures successful and simple nomination, selection, and award issuance process. Prepares documentation, data visualizations, reports, and/or presentations to inform discussions and meetings of Student Affairs staff and leadership.
SA PRO DEV FUND - coordinates the collection and organization of data for funding requests and approvals; maintains the established moderately complex process for distribution of the funds and troubleshoots any issue through resolution.
SALESFORCE - Supports Salesforce system administrator to develop and analyze metrics, reports, etc. to ensure consistent and timely service delivery to divisional units. Gathers and assembles analytical and factual data for assigned projects and issues to prepare reports and / or analyses summarizing information on the assigned issues and commenting on other significance for internal constituents (for example: use of services, service problems).
MAINTAINS WORKFORCE DATA INTEGRITY:
UCPATH DATA: Coordinates ongoing UCPath data cleanup through a variety of analytical tools and in collaboration with subject matter experts.
ORGANIZATION CHARTS AND LISTSERVS: Prepares, edits, modifies divisional org charts, listservs, and other shared materials to be shared with internal and external audiences.
INJURY AND LEAVES TRACKING: Maintains up to date data and information on Safety issues, leaves management, etc. Gathers and assembles analytical and factual data on assigned problems and issues to prepare reports and / or analyses summarizing information on the assigned issues and commenting on other significance for divisional leaders.
JOB DESCRIPTIONS: Collects and prepares job descriptions and PEM forms to store employee job descriptions in Job Builder.
DIVISIONAL HIRING COORDINATOR:
RECRUITMENTS: Collects required data and documentation for recruitments in the central services team.
ORIENTATION: Develops and participates in new employee and manager orientation to support divisional units to best collaborate with central services. Provides training on established processes, procedures, best practices, and compliance protocols for a variety of central services managed by Student Affairs Business Operations. Coordinates program planning in collaboration with BusOps and other central staff and subject matter experts.
STUDENT LEAD: Supervises and directs the work of student employees who support various central services function
Required Qualifications
Working knowledge of common organization- or research-specific and other computer application programs.
Proficient in communication and interpersonal skills to confidentiality.
Demonstrates ability to use sound judgment in responding to issues and concerns.
Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail.
Proficient in ability to multi-task with demanding timeframes.
Working knowledge of applicable policy analysis techniques.
Bachelor's degree in related area and / or equivalent experience / training
Preferred Qualifications
Beginner to intermediate of Salesforce ticketing systems; ability to use the basic functions in the system
Salary & Benefits
