Departmental Overview
The College of Engineering at UC Berkeley is recognized for its educational and research excellence, consistently ranking among the top three Engineering colleges in the United States. With more than 250 faculty members, 4,200 undergraduate and graduate students, Engineering is the second largest college on the Berkeley campus. Operating expenditures for the College as a whole are close to $200 million annually. Engineering Student Services (ESS) provides advising and counseling to currently enrolled undergraduates, hundreds of prospective students, parents, faculty, and other administrative units.
ESS ensures consistent application of college and university policies; participates in outreach activities, and provides initiatives for personal, professional, and leadership development of engineering students. GraD also under ESS, serves underrepresented graduate student adding to the student traffic and office demands. With eight professional staff, the ESS Administrative Assistant III is the front line person in the ESS reception area managing not only student and faculty traffic but ensures professional service delivery.
This position will report directly to the Director of Student Programs. Under general direction the incumbent works on operational and/or procedural assignments that require the exercise of considerable discretion and independent judgment. Tasks involve the handling of confidential information. Understands implications of work and makes recommendations for solutions. Determines methods and procedures on new assignments.

Responsibilities
40% Reception and front-line support: Create and nurture a welcoming, friendly and inclusive climate at the front desk to every visitor to ESS front desk, including students, staff, faculty or visitors. Provide outstanding service to current students, addressing their needs and questions in an engaging, friendly and timely manner; answer questions and needs of any and all visitors to the ESS lobby. Ensure students are seen in a timely manner. Manage student flow during regular and drop-in advising appointments. Answer telephone calls and emails to ESS in a professional, courteous, enthusiastic and timely manner.
35% Supervise, coach and develop student workers who support front desk operations. Inspire students to provide outstanding customer service to ESS visitors. Ensure students are properly trained in front desk operations. Manage student calendars to ensure adequate coverage at all operating times.
10% Office equipment, supplies and facilities: Manage and track office supplies and prospective student packets; place orders in efficient and effective manner. Manage office infrastructure: copier, printer, fax, kitchen, etc. Manage office shipping activities. Manage student nutrition program (fruit and snacks). Arrange room reservations for ESS events and activities.
10% Other duties as assigned by ESS leadership.
5% Building coordinator: Be the liaison between ESS and relevant parties on campus for building maintenance issues, safety and security, policies, etc. Share any and all relevant information with ESS leadership in a timely manner.
Required Qualifications
Thorough knowledge of administrative procedures and processes including Microsoft Office suite and/or Google Workplace suite.
Requires exception verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
Requires interpersonal and work leadership skills to provide guidance to other nonexempt personnel.
Skill in managing student sensitive and confidential material in compliance with federal regulations such as FERPA and maintain high level of confidentiality.
Strong customer service, willing and able to engage in a welcoming and inclusive manner with customers.
Ability to multitask while managing multiple office demands.
Available to work some weekends and evenings.
Ability to supervise, coach and develop student assistants
Preferred Qualifications
Education and Training equivalent to a Bachelor's Degree plus two years of office experience.
