Departmental Overview
Summer Sessions, Study Abroad, Lifelong Learning & University Extension (SSALLEX) is the extended education division of the University of California, Berkeley and an essential part of the University's mission to extend the research and scholarship of UC Berkeley to a global community. SSALLEX is a vibrant and dynamic organization that enables more than 60,000 visiting, UC and potential Cal students; parents, faculty, academic units, international business partners, and central campus service providers engage in campus activities. The department provides more than 2,000 summer courses, fall freshmen programs, study abroad experiences, global internships, and year-around programs or courses, lectures, special events and interest circles for older adults.

Responsibilities
The Assistant Director manages partnerships that support recruitment into Summer Sessions, Study Abroad & Lifelong Learning, and University Extension (SSALLEX) programs, and directs the contracts and Memoranda of Understanding (MOU) development and management processes, including communications, negotiations, modifications, and execution. The Assistant Director serves as a technical lead on the development of a comprehensive and updated accounting of contracts, MOU, and enrollment statuses using Salesforce, with particular emphasis on increasing internal data sharing and driving priority partnerships forward. The Assistant Director also leads the departmental utilization of Salesforce, Slate, and related software to improve departmental processes. The Assistant Director defines, develops, and implements centralized workflows and organizational models that increase productivity and efficiency across the department. The Assistant Director must be well-versed in communications and partnership development protocols and partner account management and possess prior experience organizing and using data to prioritize daily, weekly and monthly activities.
Provides highly complex analyses across a broad spectrum of programs, policies and initiatives or provides in-depth, complex analyses as a specialist in one policy field. Designs, develops and implements a long-range strategy to centralize, systematize, and track university partner, affiliate, agent, contract and student application data, to improve efficiency of related processes and increase information sharing within Summer Sessions, Study Abroad & Lifelong Learning and University Extension (SSALLEX), across campus and with external stakeholders. Compiles, analyzes, and maintains records, reports, and statistics for strategic planning purposes, related to agent and university partner performance and costs, event costs and participation, and costs of customer acquisition. Assists in developing long and short-term products and communication plans. Develops and coordinates internal policy communications related to workflow analysis and procedural improvements; formulates strategies for education and enforcement across the department. Serves as departmental lead on data organization, reporting and analysis, and implements systems to improve communication, organizational processes and productivity. Develops and advocates solutions to system issues, including developing and administering new systems, policies, processes, or programs. Plans, executes and evaluates the overall effectiveness of workflows in the following policy areas: contract development and management, partner communications, agent relationships, agent commission payment processes and hosting delegations of prospective and current partners. Develops and implements standard operating procedures to increase transparency and efficiency of all workflows. Serves as the technical lead on the departmental use of Salesforce and Slate in order to manage student applications, external relationships and inquiries effectively. Leads trainings for staff on the use of Salesforce and Slate and other relevant software, as needed. Liaises and collaborates with SSALLEX Marketing team to direct the utilization of supplementary systems and software to effectively manage the growing portfolio of visiting student programs applications, institutional partner, agent and student data. Provides analyses for complex budget, financial, academic, data, systems and resource projects working directly with all levels of managers. Drafts, develops, oversees and assesses outcomes of business contracts, affiliation agreements and MOUs with new and existing partners, in collaboration with Contracts specialists, Risk Management and other relevant campus offices. Understands contractual obligations and deliverables related to formalized partnerships. Manages domestic and international partner relationships and related partnership agreements, business contracts, MOUs and agent contracts. Drafts, develops, oversees and assesses outcomes of agreements and contracts with existing and new international partners, in collaboration with Contracts specialist. Establishes, maintains, and expands contacts with international colleges and universities, recruiting agents and marketing professionals. Builds relationships with existing and prospective partners, affiliates and agents through hosted visits and domestic and international travel. Stewards existing partnerships with universities, private sector and agents and cultivates new partnership opportunities. Tracks applications and provides status reports to representatives and sponsors. Keeps partners informed of policy and procedure changes as needed. Evaluates prospective partnerships and liaise with appropriate academic departments to vet suitable representatives. Proposes, leads and/or participates on policy and planning committees and working groups. Researches and summarizes best practices in the field. Collaborates with departments such as Finance and IT to coordinate the development, implementation and monitoring of new programs and processes. In collaboration with departmental colleagues and Financial Services, troubleshoots problems with applications, commission payments, and other matters as required. Liaises with Financial Services personnel to expedite commission payments and scholarships by tracking invoices and maintaining detailed records. Manages the agent and institutional partner database and coordinates incentive plans. Proactively manages agent and partner activity. Conducts recruitment activity assessments. Makes high-level contacts of a sensitive nature, internally and externally requiring discretion and diplomacy in order to negotiate with or persuade officials to adopt the proposed solution. Serves as the primary point of contact for internal campus stakeholders and external affiliates on partnership-related activities. Leads and directs a wide variety of projects and follows through with all levels of staff and individuals inside and outside the organization. Hosts and coordinates visits by inbound delegations and provides international protocol expertise. Creates, develops, and produces public events. Coordinates planning and logistics for international fairs and visits to international representatives. Builds relationships with non-campus affiliated and campus-affiliated organizations. Guides and directs planning which may include senior campus management, faculty, and/or external constituencies.
Required Qualifications
Thorough knowledge of campus processes, protocols, and procedures. Intermediate to advanced knowledge of common campus-specific computer applications. Strong analytical/problem-solving skills. Strong communication and interpersonal skills to communicate effectively with all levels of staff and influence, both verbally and in writing. Small to mid-level project management skills. Ability to multi-task with demanding timeframes. Ability to use discretion and maintain all confidentiality.
Education/Training:
Bachelor's degree in a related area and/or equivalent experience/training.
Preferred Qualifications
Master's degree in education, communications or related field preferred. Memberships in relevant professional associations (e.g. NAFSA).
Salary & Benefits
This is a 100% time (40-hrs a week), monthly paid, exempt position. Annual salary is commensurate with experience within the range of $82,400 - $116,900.
