Departmental Overview
UC Berkeley's School of Law is one of the nation's great centers for legal education, ever exploring and pushing new intellectual boundaries while tackling urgent, real-world issues. The Berkeley Law Development and Alumni Relations Office's mission is to build and sustain relationships with alumni, students, faculty, staff, unaffiliated individuals, corporations, and foundations to generate goodwill, engagement, and philanthropic support to advance the law school's core mission and strategic initiatives.
Under the supervision of the Director of Alumni Engagement, the Alumni Engagement Coordinator supports DAR alumni engagement staff with the preparation and implementation of alumni events and programs including Alumni Reunion, the Berkeley Alumni-In-Residence program, the REACh program, and the CA State Bar Swearing-In Ceremony. The role involves a wide range of administrative tasks and support services.
Responsibilities
Registration & Gift Recordkeeping:
Downloads registration daily and updates shared spreadsheets to indicate those attending. Maintains a macro view of registration. Troubleshoots any registration discrepancies, and audit registrations for missing or unclear information. Notifies manager if issues are detected. Downloads and send weekly gift reports to the Gift Processing team for timely gift acknowledgment.
Registration Inquiries & Assistance:
Fields registration inquiries (both phone and email messages) and assists with registration as needed. Monitors the reunion@law.berkeley.edu email account and escalates urgent issues to the manager. Responds to inquiries within 1 business day. Maintains Alumni Reunion Weekend Website: Updates all Reunion-related web pages including program and registration details. Conducts other web updates as directed by DAR staff.
Refund Processing:
Processes and responds to all refund requests. Submits refunds for processing to the Business Services office. Confirms refund completion with requestors.
Special Guests Coordination (CLE Program Panelists and VIPs):
Corresponds with panelists to: Schedules pre-event run-through conference calls with moderators and panelists. Collects bios, headshots, and cell phone numbers and post them on the CLE page on the website. Sends bios and headshots to communications colleagues for social media posts and virtual event slides. Registers panelists and moderators for ARW in Aventri. Confirms travel plans for in-person events. Mails parking permits as needed. Updates the parking reservation spreadsheet accordingly. Ensures panelists know when and where to be for both virtual and in-person events. Ensure they have our cell phone numbers (and that we have their cell phone numbers). Adds relevant support material for panels (articles etc.) to the Event Services Unit submission page and the ARW website. Creates table tent title cards for in-person panels.
Faculty:
Assists faculty with registration as needed. Liaises with those faculty coming to dinners or other events. Ensure they know where and when they are needed.
Staff Support:
Assists the Associate Director of Alumni Engagement with staff reunion volunteers' orientation to ensure all are clear on their duties before they arrive for their shifts.
Digital Class Book Admin:
Provides technical support as needed to alumni for their BrightCrowd digital class books. Assists with email invitation campaigns. Tracks undeliverable email addresses and research new addresses. Submits new contact information for CRM updates.
Event Support:
Answers Reunion phone calls and emails on all event days. Assists with registration and event tasks on all event days. Other duties as assigned.
Name Badges:
Identifies vendor and product options for name badge holders, lanyards, and printing badge inserts. Procures materials via BearBuy. Assembles and organize name tags for day-of distribution. Prints and assembles badges for last-minute registrations.
REACh (Regional Engagement Alumni Chapters):
Create Eventbrite registration pages for alumni events. Download Eventbrite attendees lists regularly. Download from CADS relevant lists of who to invite to regional and all-alumni events. Lead student workers in creating name tags for all events. Add to, and monitor tasks on, the student worker task list. Creating/archiving/filing REACh event docs in shared Google Drive.
Swearing-In Ceremony:
Attend planning meetings and take notes. Create and track registration via Eventbrite. Update all related web pages including program, FAQs, and registration details. Respond to event-related emails and inquiries. Assist with sign creation and posting. Assist with registration and tasks on event day (Dec 11).
BAIR (Berkeley Alumni-in-Residence):
Assist with the distribution of t-shirts for incoming J.D. and LL.M. students and t-shirt storage. Assist with pulling lists of alumni to help with the Alumni Guide Program. Assist with EIW mentoring program data cleanup. Assist with final goodie bag ordering and assembly and distribution.
Required Qualifications
Proactive, self-starter working style. Solid written and oral communication skills with an ability to understand a broad range of information about the organization and effectively communicate that information to alumni over the phone and in person. Proficiency, speed, and accuracy in utilizing computer software programs for word processing, spreadsheets, the internet, Google Suite (docs, sheets), and other basic software applications. Working knowledge of and/or the ability to learn common campus-specific and other computer application programs, such as BearBuy and UC travel and reimbursement systems. Must be able to learn reunion registration software (Aventri). Strong problem-solving, analytical, and organizational skills with the ability to multi-task and pay close attention to details, with a goal of achieving high-quality outcomes and 100 percent accuracy. Ability to prioritize work effectively; exercise appropriate initiative; demonstrate proper perseverance and follow through; and display sound judgment. Ability to establish and maintain effective working relationships and be an effective team-oriented member of the unit. Ability to effectively organize and execute numerous projects with interruptions in a fast-paced environment. Ability to provide excellent customer service in interacting with a diverse community. Ability to handle complaints and requests in a professional and calm manner. Professional appearance and the ability to maintain decorum and a high degree of quality communication between the various constituents served. Demonstrated commitment to and understanding of diversity, equity, inclusion, and belonging (DEIB), and ability to apply and integrate core concepts of DEIB into everyday practice. Must be committed to creating a community that fosters equity of experience and opportunity, and ensures that students, faculty, and staff of all backgrounds feel safe, welcome, and included. Must demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds present in our community. Must be able to work extended hours from September 11 to September 24, 2023.
Education/Training:
High school diploma and/or equivalent experience/training.
Preferred Qualifications
Prior experience in alumni relations, fundraising, customer/constituent services, and public relations. Knowledge of a variety of administrative operations activities such as event planning, fundraising processes, website management, and finance. Experience and understanding of constituent and event registration data with the ability to quickly organize and present said data upon request.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted salary that the University reasonably expects to pay for this position is $29.11 (step 4.0).
This is a 100% full-time (40 hours per week), limited (temporary) position that is eligible for UC benefits. This temporary assignment is scheduled to end in December of 2023. This position is non-exempt and paid bi-weekly.
