United States Conference of Catholic Bishops is Hiring a Refugee Transportation Specialist Near Washington, DC

Job Description

Job Description

This position specializes in the coordination of case travel arrangements for refugees resettling within the USCCB affiliate network. The Transportation Specialist ensures all travel bookings are accurate in USCCB’s database and coordinates with IOM and USCCB’s affiliate network regarding last minute travel changes. The position also provides programmatic and administrative support to USCCB’s processing team. The position interfaces with USCCB pre-arrival staff, USCCB affiliates, national Resettlement Agencies, overseas Resettlement Support Centers, and IOM to resolve problems as necessary. The position is also responsible for supporting the programmatic and administrative functions of the Processing Operations segment. Contributes to the Bishops’ strategic plan for the Conference. Demonstrates willingness and ability to understand, respect and contribute to the USCCB mission and to fulfill job duties in accordance with its Catholic identity.

Refugee Travel Coordination and QC

•Monitor all incoming and outgoing MiMoSA and MRIS database interface transmissions regarding transportation and resolve related problems working across MRS segments with IT and others as needed

•Coordinate arrival and follow-up data between IOM and affiliates

•Respond to emergencies and special needs

•Handle urgent issues related to arrivals including deletions/no-shows, flight changes, medical situations, etc.

•Inform IOM and/or other concerned resettlement agencies of any changes and/or case transfers

•Respond to USCCB affiliates regarding arrival inquiries

•Work with IOM daily submission list to conduct daily QC of all reported refugee travel interfaces

•Resolve all refugee travel cases that are missed through the interface, working with IOM and affiliates

•Manage monthly case reconciliation process and provide required reports to the RPC as assigned

•Respond to complaints or questions from USCCB’s affiliates pertaining to transportation problems and work to correct problems as necessary to include follow-up with IOM as appropriate

•Coordinate special travel arrangements for unaccompanied minors as necessary.

•Maintain and update after hours contact information for USCCB and IOM use

•Provide training to affiliate staff as appropriate

•Participate on MRS teams/workgroups as required

Processing Operations Office Coordination and Support 

Coordinates with MRIS database liaisons, resettlement services database liaisons and IT developers as necessary; supports the Processing Operations (PO) Segment in rollout of new database functions, as needed.

•Maintains contact distribution lists within and between headquarters and affiliate offices

•Manages communications with agency partners internal to USCCB, external organizations or government agencies and consultants, as required

•Manages segment logistics and prepares materials of internal and external events such as conferences, trainings, webinars, national meetings, staff retreats, staff meetings, including travel arrangements, registrations and shipment of materials 

•Assists in the creation and updating of PO program manuals

•Updates and prepares orientation materials for new PO staff

•Oversees organization and maintenance of SharePoint as it relates to PO 

•Creates Qualtrics surveys for MRS network, as needed; leads collation of data post-submission

•Coordinates and provides technical support to segment webinar trainings from start to finish

•Assists in drafting and disseminating processing-related communications to USCCB’s affiliate network

Other duties as assigned

Education Level: Bachelor’s degree or equivalent related experience or combination of college level course work and related experience.

Major Field/Specialty: Social Work, Business Administration, International Relations, or other appropriate field
