Job Responsibilities: Office Manager (Approximate 12 hours per week):
Provide general office support including copying, collating, printing, preparing mailings, updating databases.
Maintain and communicate conference room calendars, prepare conference room for meetings, ensure white boards have working markers, etc.
Print, prepare and mail staff greeting cards (birthday, new hires, good luck, anniversary) tracking datasets.
Manage office operations of Administration office including:
Point person on copier/other office equipment repairs and maintenance
Track inventory of envelopes/note cards/other supply needs
Track inventory of admin snacks/water & assist in ordering
Lead on various admin social events (i.e., monthly birthday cake/cards, potlucks, etc.)
Code Office Depot Invoices
Coordination of post office mailings (i.e., certified mailings)
Coordination of Admin In/Out Board
Coordination of Office Signs
Point person between Admin and BCA Front Desk regarding package deliveries
Operations (Approximately 3 hours per week):
Serve as the point of contact between UCP and Breakthrough Behavior
Manage tracking system for all vendors
Onboard new vendors
Collect all required documents from each vendor
Track all credentials in spreadsheet
Capture headshot for each vendor
Complete vendor checklist
Once all required credentials are received and cleared make vendor badge
Email UCP Facility Director to activate badge
Correspond with Breakthrough Behavior team that the badge is ready for pickup
Send monthly invoice to Breakthrough Behavior for all activated badges
Work with the Finance Dept to ensure invoices have been paid
Education (Approximately 5 hours per week):
Assist with ordering and inventory of education supplies/equipment
Assist with the typing/formatting/editing/copying of Education Forms, Handbooks and other materials.
Assist with the collection of data for Education
Perform other duties as assigned.
Medicaid Billing (Approximately 20 hours per week):
Confirm the child in Raintree if not add them to the system
Check Medicaid status and add them to the insurance tab in Raintree
Open a case in Raintree with a specific discipline IS IO IP
Open prescription under the correct discipline IO IS IP and add DX
Log into Florida Medicaid portal and confirm that we are getting paid for services
If there are denials in the system start to correct them for rebilling
