Union Tank Car Company (UTLX) is seeking applicants to become an Office Coordinator at our full-service rail tank car repair shop in Altoona, Pennsylvania to assist in various departments as needed by plant production. The Company’s regulatory, engineering and commercial expertise make UTLX the preferred source of railcars and services for many of its customers. Owned by the Marmon Group and Berkshire Hathaway, UTLX headquarters is in Chicago’s financial district, close to major public transportation hubs. Job SummaryThe Office Coordinator reports directly to the Office Supervisor and is responsible for backing up and assisting office functions as required to ensure efficient shop operations.
Responsibilities
  • Receive cars – OTMA approvals – Last contents.
  • Dispo request and creation of waybills.
  • Enter and update scheduled release dates (SRD).
  • Upload Billing Repair Card (BRC) into customer websites.
  • Obtain and track approvals.
  • Release and invoice car records.
  • Payroll/attendance backup as needed.
  • Ensure car files are easily accessible and process as required.
  • Manage enroute board as required.
Skills/Education/Experience
  • High School Diploma is required.
  • 3-5 years’ experience in an administrative/office role is required.
  • Be willing to assist on off shift as needed.
  • Be responsive to customer communications.
  • Work responsibly and efficiently with limited supervision/direction.
  • Think outside the box.
  • Be willing to take on other tasks and support all areas of operation.
  • Multitask with good problem-solving skills and offer solutions to problems.
  • Excellent written and verbal communication skills.
  • Detail oriented with excellent organizational and time management skills.
Working Conditions
  • Working conditions are normal for an office environment.
  • Work may involve lifting materials up to 50 pounds.
  • Working in this environment requires the use of safety equipment including but not limited to; eye safety glasses, and work boots.
