Hale Law PA is Hiring a Legal Receptionist Near Sarasota, FL

We are promoting our last hired receptionist and need to fill the job again! Hale Law is a growing personal injury firm who is looking to hire a motivated individual. We are looking for a bilingual (English/Spanish) receptionist for our Sarasota office. This person will often be the first point of contact with potential new clients; therefore, a professional look and demeanor are important. Prior law firm experience is preferred but not required. Applicants must have excellent communication skills, typing skills, and be computer savvy. Knowledge of Microsoft Office and PDFs is required. The right person in this position should have the ability to learn other roles in the firm for potential advancement.

Duties include, but are not limited to:

  • Answer incoming calls from potential new clients/current clients/providers and transfer them to the appropriate person or department or taking and documenting the message in the case management software.
  • Calling back any missed calls/new leads/turndowns.
  • Sort through incoming mail, faxes, and packages, distributing them to the appropriate recipients promptly.
  • Prepare outgoing mail and faxes, ensuring accurate addressing and appropriate documentation as needed.
  • Greet clients and visitors in a professional and friendly manner, ensuring a positive experience.
  • Maintain an organized reception area, ensuring it is clean and welcoming at all times as well as the conference rooms.
  • Assist with scheduling appointments and managing conference room reservations as needed.
  • Provide general administrative support, including filing, photocopying, and scanning documents.
  • Collaborate with other team members to ensure seamless coordination and efficient workflow.
  • Assisting the Director of Marketing as needed
  • Assisting the Director of Operations as needed

Job Type: Full-time

Pay: $20.00 - $23.00 per hour

Expected hours: 37.5 – 40.00 per week
