Job Requirements:

Assumes responsibility and accountability for the operation of the plant operation office. Responsibilities include but are not limited to, receive income work order requests and dispatch urgent work requests ASAP; insures department records are maintained in the computer data base with respect to preventative maintenance activities in accordance with Joint Commission requirements; provides hospital staff with updated status of pending work activities; contacts vendors as needed to procure parts and service. Takes minutes for Environment of Care Committee and Safety Committee meetings. Responsible for the entry and programming of employees in the eMerge 5000 Access Control System. Performs employee edits and payroll functions in Kronos. Maintains all inspections that are required by the state and Insurance Company.

Supports the Engineering and Security departments, system wide with diverse clerical requests. Provides backup supporting documentation and compliance with regulatory agencies, to include but not limited to: The Joint Commission, State of Florida (ACHA) and local affiliates within the Environment of Care/Life Safety scope. Demonstrates knowledge of regulatory and accrediting agencies requirements, assists Director to maintain EOC and Plant Operations policies. Coordinates the Environment of Care surveillance process for the Wellington Regional Medical Center and maintains records that are readily available for audit. Prepares/sends EOC surveillance calendar invites for each EOC member conducting surveillance rounds. Conducts monthly regulatory audit reviews for the Wellington Regional Medical Center. Maintains EOC surveillance inspection schedule and annual calendar to ensure that there are sufficient staff resources to support survey requirements. Actively participates in the PI process. Able to navigate through the TMS program to obtain documents and other data pertinent to the department. Responsible for the support of work processes relating to engineering, safety and security. Demonstrates and assures a professional, cooperative interaction with all hospital departments, medical staff, regulatory agencies, city and county employees (EMS, Police Dept.) and public in keeping with the mission and philosophy of Wellington Regional Medical Center at all times. Demonstrates Service Excellence at all times. Other duties as assigned.

Qualifications

Three to Five years’ experience preferred. Accurate typing, filing, organizational ability, telephone procedures, general office procedures and computer experience (MS Word, Excel, Q&A, WordPerfect, Power Point).

Bachelor’s degree preferred or equivalent experience required.

Minimum 3 years of experience in institutional/hospital EOC Maintenance field

Ability to work with numbers, and invoicing from vendors.

Able to record minutes with accuracy and complete those in a timely manner, within 48 hours of the meeting.

Knowledge of Window Word, Excel, Power Point. Above average preferred.

Communicates well with internal and external contacts.

Knowledge of regulatory agencies, i.e., Joint Commission, AHCA, State and Local Agencies

Conducts internal and external correspondence, reports required for the Scope of Responsibility.

Knowledge of TMS and able to navigate through the system to locate specific data when needed.
