Job Summary
The Agency Receptionist is the first face our clients see when they walk in the door. An ideal candidate would be able to deal with various types of people, multi-task well, and create a positive and welcoming first impression for our company.
Responsibilities and Duties
· Answer phones/forward calls
· Retrieve messages left in voice/mailbox overnight and forward to appropriate parties on a timely basis
· Greet clients and notify reps or their assistant
· Maintain lobby area (remove old papers, add new ones, tidy up area daily, dust)
· Handle all incoming and outgoing UPS and USPS
· Maintain all supplies for UPS and USPS
· Send out broker mail at the end of each month
· Send out the Advisor Team Reports each month
· Stock core office & kitchen daily with coffee, condiments, and supplies & clean as needed
· Sanitize and wipe down main office doors, copiers, and community office tools (binder, large stapler, pencil sharpener, etc.)
· Clean kitchen every Tuesday (microwave, toaster, coffee & ice machines, counters, tables, chairs)
· Clean out kitchen refrigerator on the last Friday of each month
· Dust and vacuum mailroom and core office
· Order coffee, condiments, and kitchen supplies once a month at the beginning of the month
· Order & distribute all supplies for Agency from Office Basics, WB Mason, Staples, etc.
· Pay all Invoices for Office Basics and WB Mason
· Create Office Basics and handle any issues that arise
· Order Warehouse Express items for Agency and help Agents with orders
· Keep supplies organized and in stock
· Create Office Basics and UPS accounts and handle any issues that arise
· Review coffee & supply invoices for accuracy
· “Onboard” new associates (set up mailbox, phone, key FOB etc.)
· “Remove” terminated associates (mailbox, phone, key FOB etc.)
· Update & maintain phone lists & key lists
· Schedule conference rooms for associates as needed
· Monitor sign out books
· Perform basic copier troubleshooting and call for service as needed
· Maintain independent contract master listings
· Assist the office manager as needed
Qualifications and Skills
High school diploma or GED required
Excellent computer skills (Word, Excel, Outlook, Access, and ability to learn MassMutual applications)
Accurate typing and data entry skills
Ability to work with different personalities
Ability to portray a professional appearance
Good organizational skills
