Primary Duties and Responsibilities

Reporting to the Clinical Director, as Clinical Operations Manager you will oversee all administrative and academic functions of the Administrative Assistants including but not limited to activities around: scheduling patient appointments, encounter registration, surgery, and diagnostic test scheduling, maintaining patient records and research materials, and ensuring appropriate financial clearance is obtained.

You will be accountable for the performance of all Administrative Assistants in the department and serve as a liaison with other departments and operating units in the resolution of day-to-day administrative activities. Responsible for ensuring all PDL escalations and patient issues are appropriately routed and resolved. Responsible for training, on-site supervision, and support for day-to-day operations of Administrative Assistants.

Responsible for the direct supervision of assigned Administrative Assistants, serving as an intermediary for questions and issue resolution. Interfaces with patients, physicians, employees, and others; building positive relationships throughout each interaction. Must multi-task between identifying areas for improving patient relations, ensuring that quality control standards are met while providing extensive personalized customer service and executing Patient Experience activities. Provide coordination for all aspects of patient care in addition to providing a high level of service for the assigned practice. Serve as initial point of contact for the practice, with the knowledge and ability to triage patient to clinic/service based on information provided by patient. Major duties include supervision of the Administrative Assistants specifically with the organization and control of workflow and serving as a working supervisor.

Pay Range: $50,700 - $100,300 / annually

  • Proficient in process improvement and system redesign
  • Possess excellent leadership, problem-solving, organizational, interpersonal and time management skills.
  • Capacity to proceed with own initiative using independent judgment and discretion to solve problems.
  • Relationship management with physicians, senior leadership, staff, and patients.
  • Effective use of time management skills to meet competing demands of the job.
  • Ability to delegate tasks to staff.
  • Capability to mentor and develop staff.
  • Typing skill to prepare business correspondence, reports, and schedules with speed and accuracy.
  • Knowledge of orthopaedic terminology to complete necessary reports and forms.
  • Skill in writing grammatically correct/concise business correspondence, reports, and performance evaluations.
  • Skill in reading documents written in Standard English text containing medical terminology.
  • Skill in speaking on a one-to-one basis with persons of various cultural, economic backgrounds to obtain information and explain procedures, interpret instructions.
  • Knowledge and skill in using the Epic and/or UCLA Medical Center computerized patient scheduling and registration system (Care Connect).
  • Skill in using various computer spreadsheet software to compile data and complete necessary reports.
  • Skill in speaking clearly and distinctly using correct English.
  • Skill in working as part of a team; collaborating with colleagues.
  • Ability to establish and maintain cooperative relationships with other staff members, subordinates, administrators, and physicians.
  • Skill in working independently and following through on assignments with minimal supervision.
  • Skill in supervising personnel including delegating responsibility, counseling, training, and evaluating job performance.
  • Skill in making appropriate job decisions following standard policies/procedures, past precedents, and common sense.
  • Ability to perform effectively under conditions of fluctuating workload and with frequent interruptions and distractions.
  • Skill in organizing material, information, and people in a systematic way to optimize efficiency and minimize duplication of effort.
Preferred :
  • BA or BS degree.
  • 5- years experience in a clinical, health care setting with 1- year in an orthopaedic clinic.
  • 5- years related management experience.
