What You’ll Do:

The primary purpose of this position is to provide support for the management of company real estate. Support the development of our property database, enhance our tools regarding lease administration, project manage transactions, and oversee lease accounting services.

  • Maintain a real estate database with detailed property information on Company owned/leased assets
  • Onboard new leases, lease modifications, and terminations into Lease Accelerator
  • Maintain tenant files, certificates of insurance, and other required documents/notices
  • Collect rent and other property fees along with monitoring and reconciling tenant accounts
  • Assist with property acquisitions/sales including contracts, due diligence, and closing processes
  • Assists in the negotiation of new leases and/or amendments tied to the expansion of existing sites and/or new properties
  • Reconcile, track, and request payment of monthly rents, additional rents, and property related expenses for all Company leased properties
  • Ensure that accurate records are maintained regarding leases, including but not limited to, maturity dates, notification dates, rent escalations, security deposits, additional rent fees, prepayments, and utility and rent charges and payments
  • Review and Analyze operating expenses and coordinate with Landlords to seek additional information
  • Provide brokerage/advisory support including the following: Support brokerage activities including leasing and marketing activities for managed properties or other listing activity
  • Provide general working knowledge of market activity/trends and other support for the preparation of market rent studies and fair market value opinions
  • Prepare detailed financial and business data analysis, related to existing facilities, capital improvement projects and new/ future facilities.
  • Manage legal documents: leases, subleases, estoppels certificates, termination agreements and other related legal documents in coordination with in-house and external legal counsel.
  • Maintain property insurance statement of values
  • Prepare materials for reoccurring executive real estate committee meetings
  • Cross-functional collaboration with Accounting, Finance/Treasury, Legal, Operations, and Facilities teams
  • Generate other documentation and memorandums instrumental to real estate projects
  • Assist in the preparation of capital expenditure reports related to facility improvements and developing new reports as needed
  • Ensure that all documentation is complete, accurate, thorough, and compliant

What We’re Looking For:

Education

  • B.S. Degree required, in a business field

Experience

  • Minimum of 1-3 years’ experience
  • Experience in the transportation industry a plus

  • Exceptional customer focus and interpersonal skills.
  • Ability to manage daily functions with minimal supervision, extensive attention to detail required, and good problem-solving abilities.
  • Proficient with Microsoft Office software including: Word, Excel, PowerPoint, and Access; Ability to learn new software applications as needed
  • Ability to multi-task and appropriate role-base decision-making ability required.
