Veteran Service Coordinator

This position reports directly to the Program Manager at the local U.S.VETS site. This position will provide direct leadership and management of client services operating within the site. In addition, it will work collaboratively with other Program Coordinators to provide fluidity and consistency in service delivery to veterans. The Veteran Service Coordinator is the lead role in organizing and coordinating the day-to-day program operations for veterans from point of entry into the residential programs and/or units. The Veteran Service Coordinator will also play a key role in establishing a therapeutic community throughout all phases of the program by creating and organizing community service areas, therapeutic stations, and residential assistance services.

FLSA Classification: Exempt

Responsibilities:

  • Responsible for facilitating and maintaining a therapeutic community
  • Supervises and manages the Veterans Service Department
  • Available for on call-emergencies and responsible for ensuring 24-hour coverage of the site
  • Organizes and coordinates community service areas and therapeutic stations
  • Implements residential program structure and supports provision of direct services
  • Provides support, training and supervision to staff who provide direct services
  • Responsible to implement and make necessary provisions to the fluidity of services offered
  • Coordinates daily shuttle van runs (or other required frequency depending on program/site)
  • Works collaboratively with the Operations Manager to ensure that operational needs are being met
  • Responsible for the storing and inventory of donations and goods
  • Manages property issues as they arise in collaboration with the Property Manager and services staff
  • Facilitates any necessary room checks as required to ensure a safe, clean and hazardless environment
  • Oversees Urinalysis Drug Screening and Blood Alcohol Content testing to support safe, sober and clean environment (as applicable depending on program model)
  • Responsible for the departmental administrative responsibilities to include assigned toxicology testing reports (where applicable), van logs, master room/bed logs, and daily activity logs
  • Responsible for ensuring the reliability of mail services if applicable for the site/program type
  • Other duties as assigned

Site-Specific Addendum:

For the VSC position at U.S.VETS West Los Angeles location, the following is incorporated into this job description:

  • Title is synonymous with Resident Service Coordinator and fills role of Veteran Support/Peer Specialist.
  • This position will report to the Project/Executive Director or Director of Behavioral Health if Program Manager is vacant.
  • Position is Non-Exempt unless supervises 2 or more positions.
  • Must complete VA designated certification course for peer support certification upon or prior to hire.
  • Works in conjunction with building property management and services staff to ensure connectivity and robust joint programming
  • Works in a manner that is professional, tactful, flexible, and mindful of the local environment on the ground when interfacing with clients and partners alike
  • Responsible for the preventing or de-escalating any problematic behaviors among clients including submitting Incident Reports to U.S.VETS management and if applicable, VA staff
  • Assists with maintaining compliance with VA, HUD, and other funder regulations and organization protocols in requestingthird party documentation and ensuring all program documentation is collected and maintained
  • Participates in case conferences, consultations, and staffing with appropriate staff.
  • Facilitates and/or participates in monthly Town Hall meetings.
  • Assists Case Managers in maintaining confidential client files in a professional and timely manner ensuring all forms are the most recently revised versions and in compliance with organization standards; all required documents are present, complete, signed by the client and staff as applicable; and documents are placed in the correct order according to organization standards
  • Maintains confidentiality in compliance with the Health Insurance Portability and Accountability Act (HIPAA) standards
  • Assists in quality management activities, data collection, and preparing reports
  • Attends scheduled team meetings and trainings
  • Maintains and submits time sheets, mileage logs, supportive service requests, and other required documentation accurately and in a timely fashion
  • Responsible for addressing client issues timely to ensure non-interruption of services
  • With supervision, facilitates support groups and life skills classes and assists with teaching daily living skills on an individual level to those with specific needs
  • Assists with monitoring program rent/participant fee compliance to assist clients in prioritizing housing
  • Identifies and utilizes community resources to meet client needs.
  • Transports clients to community medical, housing, errands, and other appointments and accompanies for support as needed
  • Coordinates therapeutic, social/recreational activities and outings

Qualifications


Requirements:

  • Bachelor’s degree in social services field or other related field preferred. Minimum of four years of relevant employment experience may substitute for degree requirements.
  • Minimum of 2 years of supervisory experience in related field. Two years of employment at U.S.VETS may substitute for supervisory experience.
  • Experience working with homeless and/or veteran population preferred.
  • Ability to work effectively with a diverse group of clients, staff, and community members.
  • Excellent written and oral communication skills.
  • Leadership and conflict management skills.
  • Demonstration of personal and financial integrity in the workplace.
  • Ability to take direction, work independently with minimal oversight, and to work within a team.
  • Valid driver’s license required. Must meet company insurance requirements and complete a provided driver training course.
