SALES, WAREHOUSE, AND ADMINISTRATIVE ASSOCIATE, STATIONERY ROOM

Department: Stationery
Reports to: Stationery Room Manager

NATURE OF WORK

This is retail customer service work assisting customers with requests, purchases and inquiries in the
Stationery Room. Work includes assisting customers; processing cash, credit card, flag purchases, and Stationery account transactions; monitoring stock levels in stores; and assisting with deliveries to
Senate offices. In addition, the position also provides administrative and warehouse support as needed. Work is bound by Secretary of the Senate policies and procedures; the U.S. Senate
Handbook; and the Senate Ethics Manual, but requires independent judgment in setting priorities and handling assignments.

ESSENTIAL FUNCTIONS

SALES ASSOCIATE

Assist customers with inquiries, purchases, including flags purchased by constituents using U.S.
Treasury’s Pay.gov payment system, and returns; ensure compliance with various purchase restrictions established by the Senate Committee on Rules and Administration; provide general information to customers regarding available options; and resolve customers’ issues.

Verify customers are Senate employees; process cash, credit, and Senate Account transactions accurately; and provide customers with the Senate’s receipt and return policy.

Monitor stock levels daily; notify warehouse personnel of need for additional merchandise; maintain store cleanliness; periodically scan items in store to ensure prices are correct; create and replace shelf tags; place new shelf tags on new items that do not have a barcode; notify manager of discontinued items when shelf is empty; organize merchandise displays; and ensure display areas are kept clean.

Provide assistance with stock replenishment in all store areas; process and receive items using a retail management computer system; deliver business cards to internal Senate offices; and provide backup support for warehouse personnel.

ADMINISTRATIVE SUPPORT

Greet visitors to the Stationery Room; operate multiple-line telephone system; receive and disseminate mail; refer staff and public inquiries to the appropriate office within the Senate; and coordinate requests for assistance with telecommunications, equipment, and service needs.

Assist Senators, spouses, and former Senators with special-order purchases, including processing and ordering with vendor; and research and resolve any discrepancies with orders.

Assist with maintenance of departmental administrative records; archiving accounting records and departmental program files as assigned; and scanning, e-mailing, and filing delivery receipts.

Assist Stationery accounting staff with financial and accounting functions including receiving invoices and verifying merchandise has been received.

WAREHOUSE SUPPORT

Receive, count, stock, transfer, and distribute merchandise using computer-based inventory control systems; verify packing slip information; physically remove merchandise from delivery vehicles and/or transport merchandise from loading docks to offsite warehouse as well as Hart Senate Office
Building (HOB) warehouse; perform duties on-site and at off-site warehouse location. Move materials with assistance of hand truck, pallet jack, motorized pallet jack, and rider pallet jack.

Prepare and deliver stock orders to Senate offices; obtain signatures confirming delivery of merchandise; and return signed delivery tickets to administrative area of Stationery Room for filing.

Identify damaged and incorrect items for vendor returns.

Maintain current knowledge of the Stationery office’s Emergency Action Plan (EAP) and Continuity of Operations (COOP) plan; participate in periodic exercises and drills.

As part of the Secretary’s customer service initiative (known as R.A.T.E.), provide all customers with the highest level of customer service.

Assist in other areas of the Stationery Room as needed or directed by management.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Work is performed in a retail store and warehouse environment with exposure to everyday risks and discomforts, and requires the use of normal safety precautions when operating material handling equipment (i.e. pallet jack, hand truck, forklift, etc.) and performing the work. Work requires walking, standing, bending, heavy lifting, and carrying items 25-50 pounds, as well as regular use of typical office equipment, software programs, and methods of communication such as a computer, email, telephone, photocopier, and fax machine. Work exposes employee to dust, paper cuts, and splinters.
Regular, predictable, and punctual attendance is required for performance of duties. Work also requires physical presence in the office, except as otherwise required by the Office of the Secretary of the Senate. Employee must wear Office-issued uniform, including shirt, pants, and work shoes at all times while working.

MINIMUM QUALIFICATIONS

Work requires a high school diploma or GED, with one to three years of retail or customer service experience; and the following knowledge, skills, and abilities:

Knowledge of merchandise and its location in the store.

Ability to read, comprehend, and follow rules, regulations, procedures, functions, and instructions.

Ability to use computer and relevant computer software programs.

Knowledge of Senate Rules regarding the purchase of Senate merchandise.

Basic knowledge of the Senate as an institution preferred, with a desire and willingness to learn more about the legislative process, as well as the history and operation of the Senate
