Description

The Coordinator, Nursing Support is a full-time, 12-month position that provides a variety of administrative, confidential and technical support to the Office Coordinator, Program Directors and Department Chair of the TJC Nursing program at Tyler Junior College.

Essential Functions and Duties

  • Greet visitors, students, and / or employees and respond to inquiries, requests for information, and provide assistance
  • Establish and maintain cooperative working relationships with other employees at Tyler Junior College. Facilitate appropriate communication involving other departments, transmitting information accurately and tactfully
  • Maintain office files, student files, and other appropriate records
  • Prepare documents as requested
  • Register students
  • Maintain inventory of and order office and classroom supplies
  • Perform general clerical duties including organizing, filing, shredding, and photocopying documents and files, etc
  • Compose written correspondence and materials; create and update all departmental forms and prepare for web; prepare minutes, reports, statistical data, and other materials pertaining to the nursing program
  • Responsible for answering phones and responding to voice or e-mail messages
  • Initiate, process and track departmental forms such as purchase orders, personnel requisitions, travel authorization forms, supply requisitions, printing requests, and travel expense reimbursement vouchers
  • Schedule appointments, meetings, send out meeting notices, arrange for catering services, make travel arrangements, and maintain department calendar
  • Prepare and maintain a variety of records and reports in compliance with regulatory bodies

Additional Duties

  • Maintain up-to-date student and faculty health requirement documentation in compliance with college, state and clinical facility policy / standards
  • Schedule Admissions / Progression / Re-enrollment meetings, record meeting minutes, answer questions, manage admission and general information email accounts, distribute and track acceptance letters, and maintain student rosters and other related documents
  • Coordinate, manage, and participate in the processing of admission applications
  • Perform other related duties as assigned

  • Thorough knowledge of the principles of office management and of modern office procedures, systems, and equipment
  • Knowledge of department and college policies, procedures, and practices with the ability to answer work related questions;

and / or interpret and apply these guidelines correctly in various situations

  • Knowledge of business English with the ability to write in complete sentences using appropriate words, correct grammar, punctuation, and spelling
  • Ability to use independent judgment and discretion
  • Detail-oriented with skills in proofreading materials and data entry to ensure accuracy
  • Oral and written skills to convey ideas, facts, and information effectively and accurately to students, staff, faculty, and the general public
  • Ability to identify what information is needed by other for effective actions
  • Ability to maintain confidential and sensitive information
  • Ability to develop and maintain filing systems
  • Ability to deal with internal and external customers in a tactful and courteous manner
  • Ability to devise or adopt office procedures to changing organizational needs
  • Ability to organize and coordinate functions and tasks, with frequent interruptions
  • Ability to establish and maintain effective working relationships internally and externally
  • Well-organized and self-directed
  • Ability both to take initiative and follow-through
  • Ability to perform basic mathematic calculations
  • Maintain an established work schedule including occasional evenings and weekends, and available via cell phone as required

Equipment / Software

  • Use office machines such as telephones, copiers, fax machines, or 10-key calculator
  • Proficient in computer programs utilized which include electronic mail, Ellucian Banner 9, Microsoft Office Suite (Word, Excel, Outlook, Teams, and Access)

Physical Requirements

While performing the duties of the job the employee is regularly required to sit; use hands to finger, handle, or feel;

reach with hands and arms and talk or hear. The employee is occasionally required to stand and walk

  • Occasional lifting of objects up to 25 pounds
  • The position may also require close vision, distance vision, color vision, depth perception, and ability to adjust focus

Qualifications

Work Experience

One to three years’ work experience in a related position preferred

Education

Associate degree or equivalent experience required
