Description

This is a full-time 12 month staff position responsible to the Deputy Chief Information Officer. Working independently under the general supervision of the Deputy Chief Information Officer/CISO, the Project Coordinator assists the IT Solutions Managers with the planning, execution, monitoring, and completion of ITSC and internal OTS projects. The Project Coordinator provides support and assistance to IT Solutions managers and other OTS Staff, by applying professional and analytical skills to aid in the development, execution, and evaluation of department procedures, policies, programs, and projects to improve service delivery and the customer experience. The Project Coordinator role is also instrumental in ensuring efficient management of software licenses, compliance with licensing agreements, and optimization of software resources across the college.

Essential Functions and Duties

Primary Responsibilities
50% Project Support

  • Supports the OTS Solution Managers and serves as a liaison between the OTS Solutions Manager and campus personnel.
  • Coordinates resource procurement activities.
  • Assist OTS Solutions managers with work breakdown structures of task identification and resource assignments.
  • Monitors and tracks project activities, progress, status, milestones, and deliverables.
  • Assist OTS Solution Managers with project status reporting, such as weekly work completed, and future work planned.
  • Collaborates with others to resolve information technology issues, including engagement with vendors to coordinate meetings, review vendor deliverable status, issues, and resolution.
  • Assist OTS Solutions Managers with the development of detailed project plans.
50 % Software Asset Management & Vendor Management
  • Assist in maintaining an inventory of software licenses owned by the college.
  • Monitor software license usage and compliance with licensing agreements.
  • Coordinate with departments to track software installations and usage across campus.
  • Assist in procuring new software licenses as needed, ensuring compliance with procurement policies.
  • Manage software license renewals and coordinate with vendors for contract negotiations.
  • Maintain accurate records of software assets, including license keys, purchase details, security compliance, and usage data.
  • Provide support to college staff and faculty regarding software license inquiries and issues.
  • Build and maintain relationships with software vendors and resellers.
Competencies
Knowledge, Skills, and Abilities
  • Knowledge of IT systems and applications including access controls, networks, system integration and/or databases; experience with enterprise level database applications and document management/automated workflow systems.

Qualifications

Required Education/Experience

  • Associate degree from an accredited institution
  • 1 year relevant work experience required
Preferred Education/Experience
  • Bachelor's degree from an accredited institution and/or equivalent number of years of proven work experience in a related field;

Travel
Must have and maintain a current valid Texas driver’s license and an acceptable driving record
