Senior Property Manager for Commercial Office Building

Downtown Fort Worth, Texas (Class A )

The Senior Property Manager (SPM) will provide leadership to the whole commercial property management team and outstanding customer service to the client. This role will be directly responsible for the oversight of the administrative and engineering staff, as well as the overall operation, maintenance, and financial performance of the client’s assets. This position requires best-in-class customer service and experienced, proactive thinking to assist with the operational needs of the whole property management team and the expectations of the client. Must have 15 years in the industry of commercial office property management and exposure to multiple building assignments. Must have hands-on experience using MRI or Yardi accounting systems. Having an RPA or CPM designation is a plus.

General Responsibilities

  • Use analytical and problem-solving skills to resolve day-to-day property management issues.
  • Develop a rapport with tenants, vendors, and clients and provide excellent customer service.
  • Build employee teams and provide training, motivation, and direction for superior performance.
  • Oversee lease administration for all new and existing tenants.
  • Conduct scheduled client meetings and provide excellent communication with client’s Asset Manager.
  • Attend leasing meetings to assist with monitoring lease expirations and work with the leasing team to maximize tenant retention.
  • Request bids, negotiate, and approve vendor contracts. Ensure projects and services are completed timely and thoroughly within the approved scope of work.
  • Maintain operational compliance of the asset in conjunction with the onsite engineering team.
  • Assists Sr. Chief Engineer or Construction Manager with all tenant improvement construction, including review/approval of drawings, bidding, offering value engineering suggestions, contracting, overseeing construction, punch list and approval of pay apps.
  • Oversee capital maintenance tasks and construction projects coordinated by the Sr. Chief Engineer.
  • Conduct on-site vendor meetings to review upcoming projects, events, and issues.
  • Meet regularly with internal staff to review delinquent accounts, insurance compliance, open work orders, and other related items.
  • Oversee all tenant relations and community events and ensure they are conducted within budget.
  • Conduct routine building inspections to identify and/or prevent any problems or minimize risk exposure.
  • Conduct routine tenant visits for the purpose of inspection, and document conversations to discuss with the team.
  • Reports accidents and emergency situations to the appropriate parties and oversees security officer’s preparation of incident reports.
  • Responsible for the creation of an emergency action plan for the property and execution of a safety program.
  • The point of contact for all communications with the building ownership.
  • Participates in civic and business organizations.

Customer Service/Tenant Relations/Tenant Communication

  • Ensures the highest quality of tenant services, communication, and retention efforts from staff.
  • Meets with all tenants on a defined basis to manage the tenant relationship and to assist the leasing team with renewal and retention efforts.

Lease/Contract Administration

  • Administers the rights and obligations of the landlord and tenant based on the executed lease document.
  • Responsible for adherence to the management agreement and partnership agreement, when applicable.
  • Evaluate all leases and lease provisions to create and maintain an encumbrance schedule for each property.
  • Responsible for monthly review and certification of the property rent rolls.
  • Prepares, reviews, and signs off on lease abstracts for any new leases and/or amendments, extensions, expansions, etc. Oversees the input of lease information into the accounting system.

Accounting Responsibilities

  • Review monthly accruals prepared by Property Manager for accounting team.
  • Prepare monthly financial and narrative reports for client.
  • Assist Accounting with funding requests to client.
  • Prepare annual operational and capital budget for client’s approval.
  • Prepare annual Operating Expense Reconciliation for client.
  • Review and reconcile complex GSA tenant tax reconciliations and CPI increases.
  • Oversee financial performance of the asset by ensuring all services and projects are completed in accordance with the budget.
  • Assist property tax consultant for property tax protests.
  • Review monthly parking vendor financials.
  • Provide guidance and support to Management Staff for any accounting-related issues such as delinquent accounts, vendor invoices, and tenant charges.

Staffing

  • Supervise all staff in the discharge of all responsibilities and always ensures adherence to company policies and procedures.
  • Manage property team including: training, goal setting for property and team members, annual reviews, performance feedback and disciplinary actions.
  • Participates in identifying candidates and all hiring decisions at the property level, in conjunction with upper management.
