Overview : Twin Cities Soccer Leagues (TCSL) is searching for an Events Coordinator to support its membership and the numerous events that TCSL hosts throughout the year.

We are seeking an individual with high standards; an individual with an incredible eye for detail; and a self-starter willing to go above and beyond to manage world-class events.

  • Above all, we are seeking a team member that is highly collaborative. TCSL is a small office with big dreams and a large scope;
  • we take an all hands-on deck approach to all TCSL programs. On one day, you may be planning for the upcoming weekend tournament;

on another, dependent on your workload, you may be tasked with planning travel for upcoming player development programs.

In short, Events is your primary duty, but expect to have a well-rounded experience at TCSL that supports your short and long-term professional goals.

About TCSL : TCSL, sanctioned by US Club Soccer (governing organization), organizes and administers leagues and events for 40 member clubs, 30,000 players, and 5,000 coaches.

Our programming is divided into the following categories (not an exclusive list) :

  • Leagues Fall, Winter, Spring
  • Events / Cups Year-Round
  • Coach Education Year-Round
  • Parent Engagement
  • Referee Recruitment
  • Preferred Requirements : experience in event planning; detail oriented; youth soccer industry knowledge; Microsoft Office Suite (Word, Excel, Powerpoint, Outlook);

exceptional communicator and team player.

Work Environment : This is a full-time position that will average 40 hours per week throughout the year. Certain weeks will exceed that mark, and others will offset heavy event weeks.

Events run nights and weekends, so not all hours are 9-5 Monday through Friday. The TCSL Office is in Bloomington, Minnesota near the Mall of America.

We are open to possible remote work opportunities for the right candidate pending the individual is available for on-site meetings from time to time and available for all events (in-person).

Event Schedule : Summer 2024

Subject to change. Provided to show example of the scope. Some other staff (i.e. interns) may be able to cover on-site components from time-to-time, dependent on the event.

However, the Events Coordinator is accountable for execution of all.

Compensation : This is an exempt position. Commensurate based on experience; employees receive comprehensive benefits package including health insurance (medical and dental), 401k (including match), computer and mobile phone plan.

Essential Job Duties

Included but not limited to :

1) Office Day-to-Day

  • Assemble events staff (interns or other).
  • Secure facilities for events.
  • Work with tournament vendors and explore sponsorships and other options.
  • Marketing / communications support.
  • Support operationally TCSL Reps and / or player development opportunities.
  • Develop and execute Intern / Event Staff training materials.

2) Marketing Execution

  • Own TCSL social media calendar and partner with TCSL staff to ensure that all areas of the business are represented.
  • Delegate graphic needs to the TCSL graphic designer.
  • Schedule posts on a weekly / daily basis.
  • Delegate assignments to TCSL videographer and TCSL photographer.

3) Event Preparations :

  • Work with Awards vendor to ensure that appropriate number of medals, cups, etc. are ordered and reflective of TCSL brand.
  • Ensure existing inventory (signage, awards, etc.) is sufficient and organized.
  • Order any signage that may be needed.
  • Schedule various events using GotSport, with support from others within organization.
  • Work with site hosts to obtain site map, and handle any issues that may need to be addressed (i.e. adequate restrooms, field preparations, concessions, parking, etc.).
  • Secure food trucks, and any other necessary vendors.
  • Partner with t-shirt vendor to bring tournament t-shirts to market.
  • Develop staffing model to ensure coverage at each site.

4) Pre-Event (week of)

  • Ensure that Intern staff is aware of responsibilities.
  • Coordinate delivery of supplies to site as needed.
  • Lead set-up at each site.
  • Follow-up on any last-minute issues that may arise regarding the events.

5) During Event

  • Serve as main contact for staff, interns, trainers and volunteers.
  • Coordinate referee refreshments and staff meals if needed.
  • Ensure scores are promptly reported.
  • Be the public face of TCSL - greet teams and referees; interact with parents, players, coaches.
  • Monitor the pulse of the event, proactively problem solve as issues arise.
  • Organize championship awards and medal hand out.
  • Organize lost and found.

6) Post-Event

  • Oversee tear-down and site clean-up.
  • Return league supplies to storage.
  • Debrief with site hosts, interns, staff; document improvements for future events.
