Essential Functions

The functions outlined in this job description are examples of the general nature of those performed by employees in this position.   • Provide calendar management for executive leadership. Schedule requested meetings coordinating busy calendars. Reschedule meetings when necessary needing little or no direction. Scan the calendar ahead to identify conflicts and communicate and collaborate to fix and keep the Executives on track.

  • Take accurate minutes and notes at a variety of meetings requiring the ability to listen well, learn new content, and summarize complicated information.

  • Assist with onsite meeting preparation and arrangements including scheduling room setup, basic IT support and preparation of materials.

  • Create documents and provide editing, formatting, research and coordinating support for various projects including grant applications and reports, board reports, and mass communication.

  • Post engaging social media posts about agency activities. Collect pictures from staff and take pictures from time to time.

  • Organize contracts to ensure they are up-to-date and easily accessible. Identify when updated contracts are needed. Communicate with external parties to ensure fully executed contracts are collected.

  • Support the Executive Leadership Team taking the lead on projects when appropriate and in completing and updating various purchasing paperwork

  • Assume all other responsibilities willingly.

Knowledge and Skills

  • Display excellent interpersonal and communication skills with drive and energy

  • Excellent oral and written communication skills

  • Adaptable and willing to learn new technology

  • Discretion and trustworthiness in handling sensitive or confidential information

  • Proficiency with Google, Adobe, and Microsoft Office products.

  • Phenomenal attention to detail with the ability to prioritize, effectively handle time, and react quickly in a fluid environment.

  • Highly engaged and see no task as too small

  • Interest in learning new skills, openness to feedback, and willingness to seek excellence

  • Minimum of High School Diploma/G.E.D

  • 2-5 years of clerical or administrative assistant experience

  • Must be willing to work evenings once a month

Other

  • Primarily an office position with limited local travel when requested by the supervisor (exposure to normal traffic hazards). Ability to lift and carry up to 25 pounds. Regular and reliable attendance required.
