As we continue to grow, we are looking for a dedicated Office Administrator and Data Entry Clerk to join our team.

Job Summary:
The Office Administrator and Data Entry Clerk will be a central part of our team, ensuring the smooth operation of our office by managing technician schedules, responding to customer inquiries, performing data entry, and maintaining accurate records in QuickBooks Online. This role requires a highly organized, detail-oriented individual who excels in communication and multitasking.

Key Responsibilities:

  • Email Management: Promptly respond to customer inquiries, forwarding emails to relevant departments when necessary.
  • Schedule Management: Organize and manage the scheduling of technicians, ensuring efficient allocation of resources for skylight installations and fireplace services.
  • Data Entry: Accurately enter data into QuickBooks Online, including invoicing, purchase orders, and customer information, maintaining up-to-date financial records.
  • Phone Support: Answer phone calls from clients and vendors, providing excellent customer service, and directing inquiries as appropriate.
  • Administrative Support: Assist in various administrative tasks, including filing, copying, and preparing documents to support office operations.
  • Customer Service: Ensure high levels of customer satisfaction by effectively resolving queries and providing detailed information about our services.

Qualifications:

  • Experience: Previous experience in an administrative role preferred. Familiarity with QuickBooks Online or similar accounting software is a plus, but we will offer full training.
  • Skills: Strong organizational and multitasking abilities. Excellent communication and customer service skills. Proficiency in MS Office and data entry.
  • Characteristics: Detail-oriented, reliable, and able to work independently. A positive attitude and ability to handle customer inquiries professionally.
  • Education: High school diploma or equivalent. Further education or certification in administrative services or accounting is beneficial.
