Trillium Clinic, PLLC is Hiring a Medical Practice Administrator Near Chapel Hill, NC

This position is responsible for managing the non-clinical operations of Trillium Clinic, PLLC a Dermatology Practice in Chapel Hill, NC.

Nature and Scope:
This position is responsible for managing the non-clinical operations of the dermatology practice with
a specific focus on the customer/patient experience. The Practice Administrator will work
collaboratively with the doctor to ensure the successful operation of high quality, efficient
office practices. This position ensures the implementation and adoption of operational
best practices, supervises non-provider team members, monitors compliance with
regulations such as HIPAA and OSHA, manages external support vendors, and
executes on human resources strategy responsive to growth.

The Practice Administrator must be able to communicate successfully across a wide
spectrum of audiences, lead change initiatives, have strong financial and organizational
skills and be able to function effectively with multiple priorities. Progressive roles of
expanding responsibility with at least two years’ experience leading a multi practitioner,
procedure focused medical practice preferred.

  • Communicates with all patients and vendors (internal and external) in a positive and professional manner.
  • A track record of proficiency in relation to the impact of third party medical insurance plans specifically as they relate to the ability of clinical providers to deliver care (i.e prior authorizations, referrals).

The responsibilities of the position include, but are not limited, to the following:

  • Promote process standardization.
  • Develop business plans in conjunction with the mission statements
  • Work in collaboration with the clinical team leads to implement new business service lines
  • Exemplifies superior customer service towards patients, families, visitors, referring clinicians, and team
  • Manage external vendors
  • Track and order supplies including medical, cosmetic, office with preferred vendors
  • Monitors and maintains compliance with all federal and state programs in conjunction with Clinical Team lead
  • Continually evaluates operations, analyzes processes, and initiates appropriate changes.
  • Monitor expenses with a focus on effective personnel and supply utilization - focusing on efficient, accurate, and prudent financial management adhering to the annual budget.
  • Evaluate monthly customer traffic, from the top of the funnel through encounter
  • Interface with medical billing team to procure necessary documentation as required. This role will NOT be responsible for billing and coding as it relates to insurance submissions
  • Attend weekly leadership meetings to discuss operational challenges and successes.
