Job Title: Procedure Scheduling Supervisor

Department: Specialty Practice (Interventional Pain procedures a plus)

Location: Stone Oak area of San Antonio

Job Overview:

As a Procedure Scheduling Supervisor in a Specialty Practice, your primary role is to oversee and manage the procedure scheduling team. You will ensure the efficient and organized scheduling of medical procedures and surgeries, maintain adherence to medical protocols, and provide leadership in a fast-paced healthcare environment.

Key Responsibilities:

Team Leadership:

· Lead and supervise a team of Procedure Scheduling Coordinators, providing guidance, training, and performance evaluations.

· Foster a positive and cohesive work environment, promoting teamwork and effective communication.

Scheduling Coordination:

· Oversee the scheduling of procedures, surgeries, and treatments, collaborating with healthcare providers, surgeons, and nursing staff to ensure proper coordination.

· Ensure that scheduling aligns with patient and physician preferences and prioritizes urgent cases.

· Step in to assist with complex scheduling or when staffing needs demand additional support.

Quality Control:

· Implement and maintain scheduling protocols to ensure the highest level of accuracy and compliance with healthcare regulations.

· Perform regular audits of scheduling records and processes to identify and address any discrepancies or areas for improvement.

Patient Consultation and Escalation:

· Provide guidance and assistance to patients with complex scheduling needs or concerns.

· Address escalated patient inquiries or complaints, working to resolve issues in a professional and empathetic manner.

Documentation and Compliance:

· Ensure that the scheduling team maintains accurate and up-to-date records of scheduled procedures, patient information, and consent forms.

· Monitor and enforce compliance with healthcare regulations, including HIPAA, patient consent, and data protection.

Insurance and Billing Support:

· Assist the scheduling team in verifying insurance coverage, obtaining necessary authorizations and referrals, and addressing complex insurance-related issues.

· Collaborate with the billing department to ensure accurate and timely billing for procedures.

Training and Development:

· Provide ongoing training and professional development opportunities to the scheduling team to enhance their skills and knowledge.

· Stay updated on industry regulations and share this information with the team.

Reporting and Analysis:

· Generate regular reports on scheduling efficiency, patient satisfaction, and other relevant KPIs.

· Analyze data to identify trends, bottlenecks, and opportunities for process improvement.

Qualifications:

Bachelor's degree in healthcare administration, business management, or a related field is preferred.

Previous experience in a healthcare administration role, including experience in procedure scheduling and supervisory experience.

In-depth knowledge of medical terminology and procedures specific to the specialty practice.

Strong leadership, interpersonal, and communication skills.

Exceptional organizational and multitasking abilities.

Proficiency in scheduling software and electronic health records (EHR) systems.

Expertise in insurance verification and billing procedures.

Commitment to maintaining patient confidentiality and privacy.

Ability to work effectively in a fast-paced and high-stress healthcare environment.

Understanding of regulatory compliance requirements and their application in scheduling procedures.

Problem-solving skills and the ability to handle escalated patient concerns with empathy and professionalism.
