Principal Responsibilities:
1. Demonstrates knowledge of the organization’s mission and core values and incorporates them into the performance of duties at Tri-County Orthopedics.
2. A vital front desk team member to ensure a professional customer service experience, providing efficient and smooth operations for our patients and general guest satisfaction.
3. Greets patients and provides assistance and/or coverage as needed (i.e. answer calls, requests for assistance are directed to proper individual, etc.) .
5. Screens internal and external callers in pleasant and a professional manner; directs caller to appropriate person or area.
6. Schedules appointments for visits, collect co-pay, schedule follow up visits, when applicable.
5. Gather all patient demographic related data and materials from patients and/or their representatives. Obtain insurance information (ID card, member/group #s, etc.) Follow up with patients and/or their representatives, physician offices, etc. to gather missing data and materials in order to complete the intake process.
6. Properly Q&A all intake-related data and materials for completeness, monitor intake work queue for timely intake completion.
7. Maintains cooperative and professional relationships with physicians, nurses and office and clinical staff.
8. Answers patient questions to ensure understanding and patient satisfaction. Maintains confidentiality on matters to which they are privileged.
9. Maintains and receives files for area. Maintains files in organized and up-to-date manner in order to facilitate their retrieval. Completes filing in accordance with departmental procedures. Sorts and distributes documents and forms for area. Distributes materials according to content of communications and departmental procedures. Logs in materials with respect to time and data when applicable. Processes incoming and outgoing documents. Completes forms neatly. Secures appropriate signatures and forwards documents/forms to correct destination based on pertinent Medical Center procedures. Maintains copy for files. Faxes documents in accordance with departmental procedures.
10. Ability to remain calm and professional and have the ability to deescalate a situation under pressure.
11. Maintains supplies and cleanliness of space, restocks supplies as needed.
12. Performs other related duties as needed.
Minimum Qualifications:
High School Diploma
Preferred Qualifications:
Strong knowledge of computer-based scheduling programs.
2 years relevant medical office experience.
Working Conditions/Physical Demands:
Medical office setting; subject to high-volume traffic and interruptions (level of activity varies depending on the area and office location)
Maintain patient confidentiality; comply with HIPAA and OSHA compliance guidelines established by the practice.
Maintain detailed knowledge of practice management and other computer software as it relates to job functions.
Attend all regular meetings and complete all assigned trainings.
Performs all other tasks and projects assigned by the Practice Manager.
Work Hours
Availability to work between office hours, as early as 7:30 AM, and as late as 7 PM / 7.5 hours/per day. A typical work week consists of 37.5 hours/week (Monday-Friday). Candidate should have availability, when needed, to rotate between Cedar Knolls and Jefferson office locations, providing coverage. And, when required work 2-3 hours during walk-in clinic hours, Saturday at our Cedar Knolls Office Location.
Typical Physical Demands
Position requires full range of body motion including manual and finger dexterity and eye-hand coordination. Position involves standing, walking, bending. Employee will occasionally be asked to lift and carry items weighing up to 20 pounds. Normal visual acuity and hearing are required. Employee will work under stressful conditions, and could work irregular hours having flexibility and availability between 7AM and 7PM.
Typical Working Condition
Fast-paced working environment greeting patients and preparing patient records for multiple physicians.
