Job Description:
We are seeking a dedicated and experienced individual to join our team as a Contract Program Specialist. This role is instrumental in overseeing government programs, contracts, and initiatives, ensuring their successful implementation and compliance with regulatory requirements. The Contract Program Specialist will be responsible for managing program operations, coordinating with stakeholders, and driving program effectiveness. Additionally, this role will involve assisting with basic accounting tasks, including but not limited to invoicing, customer credits, revenue reports, and order reconciliation.
This is an In-Person Position, Monday through Friday

Requirements
Primary Responsibilities:
Program Management:
Oversee the planning, execution, and evaluation of government contracts, programs, and initiatives, ensuring alignment with organizational goals and objectives.
Develop and maintain program schedules, budgets, and resource allocations to meet program deliverables and milestones.
Monitor program performance metrics, track progress, and identify areas for improvement or optimization.
Stakeholder Coordination:
Collaborate with internal and external stakeholders, including government agencies, contractors, and community partners, to coordinate program activities and ensure effective communication and collaboration.
Serve as the primary point of contact for program-related inquiries, issues, and escalations.
Compliance and Reporting:
Ensure compliance with regulatory requirements, grant guidelines, and reporting standards for government-funded programs.
Prepare and submit regular reports, documentation, and financial statements to government agencies and funding organizations as required.
Accounting Support:
Assist with basic accounting tasks, including invoicing, processing customer credits, review revenue reports, and reconciling orders.
Maintain accurate and up-to-date financial records, ensuring integrity and accuracy of accounting data.
Quality Assurance and Risk Management:
Implement quality assurance processes and controls to monitor program performance, mitigate risks, and address issues in a timely manner.
Identify potential risks and develop contingency plans to minimize disruptions and ensure program continuity.
Continuous Improvement:
Evaluate program effectiveness and efficiency, identify opportunities for optimization, and implement process improvements to enhance program outcomes and stakeholder satisfaction.
Other Responsibilities:
Coordinate intra-departmentally to ensure timeliness of customer deliveries and reporting.
Continually improve business and product knowledge.
Attending industry events, training, and trade shows as required.
Assist with account clean up, call lists and problem orders as required.
Act as a backup to account managers when absent.
Qualifications:
Bachelor's degree or minimum of 4 years’ experience in contract or program administration, business management, or related field.
Proven experience in government program management, preferably in a public sector or nonprofit organization.
Strong project management skills, with the ability to manage multiple projects simultaneously and meet deadlines.
Knowledge of government regulations, grant management principles, and financial reporting requirements.
Excellent communication, negotiation, and interpersonal skills, with the ability to build relationships and collaborate with diverse stakeholders.
Proficiency in accounting software and Microsoft Office suite.
Detail-oriented with strong analytical and problem-solving abilities.
Ability to work independently and as part of a team in a fast-paced environment.
