Transformational Acupuncture LLC is Hiring a Medical Receptionist Near Washington, DC

Would you like to provide customer service in a calm and inviting environment? Then you may be perfect for our clinic front desk position at Transformational Acupuncture located in the heart of the Dupont Circle neighborhood. This position requires strong attention to detail, the ability to remain calm under pressure and during busy clinic hours, as well as a can-do attitude. You will also be expected to stay organized, have good instincts, and use discretion when handling confidential information. You will be the administrative representative of the clinic and crucial to the clinic’s success through proactive outreach to past, current, returning, and potential patients to schedule appointments.

The person filling this position should expect to work weekends and evening hours and provide some light cleaning, lifting of supply shipments, and other light physical work. You must also be comfortable working in an office where patients are coming in on an ongoing basis for treatment.

Essential Job Functions

Patient Relations

  • Greet patients when they arrive and check them into the online scheduling and health records system
  • Ensure all necessary forms are complete before patients’ appointments
  • For new patients, scan insurance card as appropriate and verify identification
  • Show patients to treatment area and attend to their needs
  • Process payments prior to treatment or from sales of retail products
  • Schedule follow-up appointments
  • Answer the phone and check voicemails in a timely manner and direct calls or messages to the appropriate team member
  • Track daily clinic schedule and contact no-shows, late arrivals, etc.
  • Reporting to the Practice Manager, other administrative functions as requested

Front Office Maintenance Tasks

  • Assist acupuncturists with treatment-area cleaning after patient appointments
  • Periodically sanitize high-touch surfaces
  • Receive packages and mail, distribute to appropriate employees and store supplies; greet vendors and technicians as needed
  • Prepare laundry for weekly pick-up and put away returned, clean linens
  • Refill soap, paper towels, toilet paper, and other office supplies
  • Keep water and cups filled in waiting area
  • Periodically collect trash and tidy front office

Minimum Requirements:

  • High school diploma accepted with some college or equivalent experience
  • Minimum 2 years’ experience in an Administrative Assistant, Front Desk, or Customer Relations position preferably in a medical setting
  • Bachelor’s degree or equivalent experience preferred for the candidate to be considered for advancement
  • Exceptional customer service skills, professional phone manner, and “patients-first” approach
  • Strong attention to detail and ability to multitask
  • Adhere to strict guidelines regarding patient health information
  • Experience with scheduling and billing software or willingness to learn; comfort with using Apple computers, G-Suite, and other cloud-based applications
  • Strong communication skills
  • Ability and willingness to be attentive to and flexible with patients’ and acupuncturists’ needs
  • Positive attitude and strong work ethic

Job Type: Part-time

Pay: From $20.00 per hour

Expected hours: 18 – 30 per week
