JOB SUMMARY

The Intake Coordinator reports to the Program Director under the supervision of the Access Team Leader/ or designee and processes all referrals related to Children’s Mental Health services. These services include completing all new admissions in a timely manner with the goal of opening new clients for mental health services. 

ESSENTIAL JOB RESPONSIBILITIES

  1. Ensure all new referrals are logged and entered into the Electronic Medical Record (EMR) in a timely manner.
  2. Ability to organize and prioritize work so as to perform assigned duties independently.
  3. Determine and confirm eligibility of all new intakes prior to initial appointment.
  4. Meet directly with parents/guardians to complete initial admission documentation and enter new episodes in in the EMR.
  5. Prior experience and comprehension of working with an EMR Database.
  6. Maintain integrity of the clinical information entered into the EMR.
  7. Work with intra/interagency providers to ensure all transfers are linked for services, including follow up appointments prior to discharge from treatment.
  8. Interacts with program staff to schedule intake assessments.
  9. Interacts with community partners to receive and make referrals, including collaboration to ensure follow-up and or other resolution.
  10. Ability to take crisis related calls, triage, and determine appropriate level of support.
  11. Ensure all logs and required reports are maintained and updated.
  12. Provide verbal and written reports.
  13. Assist with answering phone calls or provide additional coverage
  14. Ability to provide excellent customer service when handling all phone calls.
  15. Participate in Community Outreach opportunities in an effort to sustain referrals for services.
  16. Think and act quickly and efficiently in emergencies.
  17. Physical presence at the office is required.

ESSENTIAL JOB REQUIREMENTS

  1. Must have a secondary degree or equivalent of two (2) or more years working at a job site as a clerical and/or social services staff.
  2. Experience with data entry including direct services.
  3. Knowledge of Turning Point Children’s Mental Health rules and procedures.
  4. Ability to work well with a diverse group of people.
  5. Maintain all trainings related to current job duties.
  6. Communicate effectively in written and spoken English.
  7. Ability to communicate effectively in written and spoken Spanish preferred.
  8. Intermediate computer skills in Microsoft Word, Excel, Outlook and PowerPoint, Office 365, Teams, Zoom and other communication/meeting platforms.
  9. Possess a valid driver’s license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required. 
  10. Ability to pass a criminal background check.
  11. Ability to pass a pre-employment drug screen and TB test.

ESSENTIAL JOB REQUIREMENTS FOR BILINGUAL SKILL

  1. Communicate effectively in written and spoken Spanish.
  2. Required ability to communicate effectively with monolingual Spanish speaking clients and families for all clinical purposes.
  3. Assist with phone calls for Spanish clients.
  4. Required to provide language translations for case managers and Physicians on a periodic basis.
  5. Other translation tasks as required.

    • Monolingual: Class 102 ($16.31 - $20.63/hour)
    • Bilingual: Class 107 ($16.48-$21.69/hour)
