Job Summary
· Answer all incoming phone calls according to scripts and schedule appointment for appropriate department.
· Log all customer comments into Customer Retention Management tool or in Dealer Management System as required
· Schedule follow-up contact if no appointment is made.
· Contact customers using scripts.
· Post scheduled appointments in DMS or third party scheduler.
· ASM to run Appointment schedule daily. When staffing Porters or Greeters an abridged schedule to help identify customer would help.
· Follow-up with Service Department to determine if appointment was kept or monitor the DMS. Determine if future contact as needed.
· Reschedule no-show customer appointments.
· Purify and update customer information in database.
· Generate follow up contacts according to customer’s preference
· Contact customers based on current marketing initiatives and incentives.
· Notify appropriate departments when an appointment is scheduled.
· Forward any customer concerns to appropriate Department manager and follow-up.
· Contact and schedule customers that have special order parts.
· Use Toyota and dealer systems to find and contact customers with outstanding recalls.
· Experience with Time Highway or Reynolds and Reynolds is a plus, but not required.
· Set up first service check in time for new Toyota Care customers.
