Titan Virginia Ready Mix has an excellent opportunity for an Administrative Assistant to support the Northern Virginia Sales Team based in Sterling, VA. This salary non-exempt position will provide sales clerical and administrative support for the region.

Responsibilities:

§ Create and distribute marketing, sales & analysis reports (including backlog, forecast and other misc sales reporting)

§ Responsible for gathering specifications for upcoming projects, sending quotes, answering customer phone calls, maintaining worksheets to track pending/won/lost jobs, entering projects into BCMI

§ Support sales effort by supplying customers with information as requested by sales representatives

§ Maintenance of accounting records for cash sales, invoices and adjustments

§ Input data on reports and distribute monthly

§ Customer account maintenance within software systems

§ Investigate charge backs from customers

§ Customer service problem resolution and assistance

§ Enter QC reports into Command QC

§ Filing and maintaining required support documentation

§ Compile, scan, and validate delivery tickets

§ Answering office phone and providing other administrative support as needed including correspondence, mail sorting, develop and maintain filing system, and maintain electronic calendars

§ Assist with SAP data entry

§ Prepare presentation materials including graphs, charts and data

§ Provide excellent customer service and interact effectively with all levels of the organization

§ Attend meetings to record, transcribe and distribute minutes

§ Assist all managers as needed when setting up spreadsheets, presentations, and reports

§ Responsible for special projects and other duties as assigned

Qualifications:

§ Advanced computer proficiency and knowledge of MS Office including Word, Excel, PowerPoint and Outlook, MS Access knowledge highly preferred

§ Experience with AS400, SAP, inventory and purchasing programs preferred

§ Excellent written communication skills, including advanced editing skills

§ Effective verbal communication skills with ability to work effectively within a team setting

§ Excellent planning, attention to detail, and organizational skills with the ability to prioritize responsibilities

§ Ability to build effective spreadsheets and analyze data through visual presentations

§ Proven ability to perform statistical analysis (averages, trends, etc.)

§ Proven ability to work under tight deadlines

§ Experience with budgeting and purchasing

§ Exceptional customer service skills; responsive to concerns and timely follow-up

§ High school diploma or equivalent, College degree preferred

§ 3-5 years job-related experience in a fast-paced environment

§ Knowledge of Google Earth program preferred

§ Knowledge of ready mix industry a plus

Working Environment

§ Display a professional and courteous attitude to co-workers, supervisors, and the general public at all times

§ Willingness to work in a team environment and assist co-workers or supervisors with other duties as required

§ Ability to work flexible shifts including nights, weekends, and overtime as needed

§ Ability to pass pre-employment processes including criminal background check and drug screen

§ Travel between sites as needed

Duties:
- Assist the sales team with administrative tasks, including preparing sales reports, presentations, and proposals
- Coordinate and schedule meetings, appointments, and travel arrangements for the sales team
- Maintain and update customer databases and CRM systems (Salesforce)
- Conduct market research to identify potential customers and new business opportunities
- Collaborate with the sales team to develop strategies to meet sales targets
- Assist with account management by providing excellent customer service and addressing customer inquiries or concerns
- Support the sales team in preparing and delivering product demonstrations or presentations to clients
- Assist in negotiating contracts or pricing agreements with customers
- Provide general administrative support to the sales department as needed

Qualifications:
- Previous experience in a sales coordinator or similar role is preferred
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Proficiency in Salesforce or other CRM systems is highly desirable
- Knowledge of technical sales or technology industry is a plus
- Fluency in Spanish is a plus
- Ability to work independently as well as collaboratively in a team environment
- Strong problem-solving skills and attention to detail
- Customer service-oriented mindset
