Tinkelman Companies is Hiring an Office Admin/Front Desk Receptionist Near Poughkeepsie, NY

We are looking for a proactive, reliable, dependable Office Admin/Front Desk Receptionist. They will undertake administrative and clerical tasks ensuring the rest of the staff has adequate support to work efficiently.

Strong work ethic, follow through action items, ability to multi-task, take initiative and work in a timely and efficient manner are all the qualifications required to support our team successfully. If you thrive in an atmosphere where you have the ability to jump in and help others in all facets of the organization, this is the position for you.

Responsibilities include but are not limited to:

  • Greet employees, visitors and clients and others when they arrive to the office
  • Answer, screen and forward incoming phone calls
  • Use a range of office software, including and not limited to Microsoft Outlook, Word, Excel, Powerpoint.
  • Manage online and paper filing systems
  • Maintain the condition of the office and arrange for necessary repairs
  • Ensure reception and office area including kitchen is tidy and presentable, with all necessary stationery and supplies (e.g. pens, forms and brochures).
  • Receive, sort and distribute daily mail/deliveries
  • Provide administrative support to the Principal with clerical duties such as filing, photocopying, typing letters, maintaining calendar and schedules, assisting with telephone calls, etc.
  • Support Architects with RFPs, mailings, running errands for pick-ups and drop-offs as needed. Ability to provide other administrative assistance as necessary

SKILLS AND QUALIFICATIONS:

  • Professional & friendly manner a must.
  • Marketing experience a plus (Social Media, Websites, Marketing Material)
  • Effective written, verbal and electronic communication.
  • Must be a detail oriented person.
  • Prompt, reliable attendance is an essential function of the job.
  • Ability to type.
  • Ability to work efficiently in fast‑past environment.
  • Excellent organizational and communication skills required
  • Computer and Microsoft Office experience necessary
  • Must be willing and able to work with other departments in a team atmosphere
  • Must have a minimum of 2 years proven experience in the administrative field
  • Must have transportation
  • Ability to lift up to 20 lbs.
