SUMMARY:

The HR Compliance Coordinator will be responsible for ensuring the organization complies with all federal and state laws, regulations, and internal policies related to Human Resources. This role requires a keen understanding of HR processes/procedures, exceptional attention to detail and written communication, and the ability to maintain confidentiality. This position fulfills many of the daily functions of the department and is based at the Corporate Office. The job description includes but is not limited to the following:

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Monitor Compliance

oResearch and stay abreast with all employment, wage/hour laws and regulations, local, state, and federal, as well as industry standards and communicate changes to the HR team.

oTrack and maintain calendar with current and upcoming compliance changes.

oMaintain spreadsheet of compliance updates tracking all policies/documents/etc. have been updated and communicated ensuring completion of the new legislation.

oEnsure all policies, procedures, forms, and documents are compliant with local, state, and federal regulations.

oMaintain document retention library.

  • Policy Development & Maintenance

oReview and update HR policies/procedures.

oCollaborate with HR, Legal, and Store Operations to develop policies/procedures for RSC (corporate) and Stores.

oManage Employment and New Hire/Onboarding Documents and Policies.

oUpdate and provide suggestions to Employee Handbook and Supplemental State Handbooks.

oUpdate and provide suggestions to Policies and Procedures Manuals.

oUpdate and maintain minimum wage calendar, process, and communication.

  • Draft memos and communication for RSC (corporate) and Stores when policy and procedure updates occur.
  • Assist with New Store and Store Closing checklist.
  • Assist with Legal Posters for Stores and RSC.
  • GovDocs – ensure Store locations are up to date (adding and removing Store locations).
  • Assist with Foundry training and send reminders to employees and department leaders.
  • Assist with subpoenas, wage/hour audits, and responding to legal inquiries.
  • Collaborate with legal on litigation holds and other legal issues or concerns.
  • Conduct regular internal audits to assess HR processes and documentation for compliance.
  • Assist with analyzing data and HR reporting.
  • Identify areas for improvement and implement corrective actions as needed.
  • Develop communication materials for HR training programs, workshops, and professional development opportunities.
  • Assist employees with general employment, policy, and procedure related questions.
  • Assist HR Generalists with employee relations issues and investigations.
  • Provides ongoing training/coaching to employees and managers on policies, procedures, documentation, and other HR-related issues.
  • Provides support with the Unemployment Claims process.
  • Assists with communication and facilitation of Performance Review process.
  • Understands New Hire Reporting, I-9, and E-Verification processes and partners with the HR Admin team to execute compliance.
  • Understands waiting time pay/penalties and assists with calculating.
  • Understands HR information systems and helps troubleshoot.
  • Special Projects as assigned by HR Manager and VP of HR.

QUALIFICATION REQUIREMENTS:

  • Exceptional verbal and written communication skills.
  • Proficient computer skills with work experience in MS Office Applications including Outlook and word. Advanced Excel Skills required.
  • Detail oriented, strong project management skills, and highly organized.
  • Strong analytical skills as well as independent thinking/reasoning ability.
  • A sense of urgency and willingness to make independent decisions and bring projects to completion.
  • Thorough knowledge of employment-related laws and regulations (multi-state preferred).
  • Ability to reprioritize projects frequently and multitask.
  • Excellent interpersonal skills.
  • Able to effectively use common office equipment (i.e., computer, printer/fax, etc.).
  • Proficient in English.

EDUCATION and/or EXPERIENCE:

  • High School Diploma required
  • Bachelor’s Degree in a related field preferred.
  • Must have at least 3 years of Human Resource Experience.
  • Retail Experience is preferred.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • PHR Certification preferred

OTHER SKILLS and ABILITIES:

  • Insight and the ability to effectively influence others as well as champion and implement ideas.
  • Possess a strong value system with great integrity and demonstrate personal and professional leadership.
  • Knowledge of HR systems and ADP preferred.
  • Ability to remain flexible, re-prioritize, and respond to changing demands.
  • Ability to analyze reports and employee data information.
  • Strong ability to exercise sound judgment and find effective solutions.
  • Must have the ability to troubleshoot HR systems and analyze reports/employee data.
  • Ability to effectively communicate with all levels of staff and management.
  • Knowledge of Labor Laws and/or OSHA Regulations.

  • Typical office environment with low-level noise exposure.
  • Position is based out of the Corporate Office with occasional travel to store locations.

Hourly Salary Range: $25-$30: Offer placement within this range is dependent on a variety of factors, including prior relevant experience, qualifications, and skill set.
