Tidewater Orthopaedics is Hiring a Patient service Coordinator/Physical Therapy Technician Near Williamsburg, VA

The rehabilitation services patient service coordinator/technician responsibilities include identifying payer source; verifying insurance eligibility and assisting patients with completion of paperwork when necessary. The rehab services patient service coordinator is involved in assisting with answering department calls and maintaining the cleanliness of the clinic. Additionally, as applicable to the technician role, the employee will assist therapists in the execution of patient’s therapy program. This position requires flexibility in scheduling as well as coverage of fellow staff as needed possibly in both Hampton and Williamsburg offices.

Responsibilities:

  • Prints schedules for upcoming appointments
  • Obtains/verifies treatment authorization for dates of service
  • Reviews Electronic Medical Record for needed updated demographics and consent forms
  • Schedules, re-schedules, and cancels appointments as necessary
  • Contacts patients who ‘no-show' to reschedule, beyond 15 min of scheduled appointment time, documents in EMR and notifies appropriate staff
  • Answers phones in a timely manner. Communicates with customers in a courteous and professional manner.
  • Accurately retrieves messages and re-directs to appropriate party as necessary
  • Ability to collect patient copayments, manage a cash drawer, reconcile charges for the end of day procedures. Works well in collaboration with other team members including physicians, therapists, technicians and administration in providing efficient and effective care to our patients
  • Chart preparation for both existing and new patients daily
  • Reviewing patient charts for non-compliance and schedule accordingly to patient and clinic schedules.
  • Retrieving hot packs and/or cold packs.
  • Setting up exercise machines as necessary for each individual patient.
  • Monitoring exercise repetitions/form as requested by the therapists for patients.
  • Cleaning up after patients and therapists as necessary
  • Is responsible for adhering to work schedules, which are created to maximize hours of patient care and patient volume, therefore, schedules may vary from day to day depending on patient need, including early morning hours, and evening hours depending on clinic.
  • Will be available occasionally if requested to assist at a clinic other than your base clinic.
  • Is responsible for adhering to practice’s policies and procedures pertaining to customer service and patient care, including but not limited to:
  • Dressing professionally in uniform of khaki pants and polo style shirt.
  • Being prompt and professional
  • Is responsible for doing laundry and ensuring towels, gowns, etc. are clean, folded and put away in the appropriate place, rooms are always stocked appropriately
  • Is responsible for continually cleaning plinths, equipment, etc. after each patient use
  • Is responsible for attending monthly clinic staff meetings or if unable to attend, he/she is responsible for obtaining a copy of the written agenda from the Clinic Director
  • Is responsible for maintaining accurate times for work in web time clock system and submitting missed punches within 24 hours
  • Is responsible for promoting all practice products and services whenever possible
  • Performs other related duties as requested as well as assisting front desk as needed

  • Must demonstrate critical thinking skills to manage day to day basic operations
  • Must be able to work steadily, efficiently and show constant vigilance to the detail of the work

  • Demonstrated success in scheduling, answering phones and previous EHR/EMR System
  • Proficient with Online Payer Resources
  • Posting patient payments

Education/Work Experience Requirements

  • High School Diploma or GED
  • 1-2 Years of scheduling experience
  • Some trade course classes in accounting, business and communication would be helpful

Physical Demand:

  • Frequently standing, walking and sitting. Ability to pull, lift, carry and push less than 10lbs repetitive. Frequent stooping, kneeling, balancing, climbing and balancing. 95% of work will be performed inside with noise and/or vibrations. No extreme heat, cold, wet or humid work environment. Repetitive physical and verbal interaction with patients.
