Position Title: Facilities Coordinator

Reports to: Director of IT

Category: Non-Exempt

Status: Regular Full-Time

Location: Onsite {Seaford, DE}, traveling among 8 branches- CU van for use.

Position summary:

The Facilities Coordinator is vital in ensuring the Credit Union's properties, buildings, grounds, systems, and equipment operate optimally by overseeing maintenance schedules and improvements.

Tasks:

Duties include, but are not limited to the following:

Facilities Management

  • Manages the credit union’s maintenance needs, delivering timely, cost-effective maintenance and improvement of the credit union’s property, which includes buildings and structures, furniture and fittings, utility services and infrastructure, grounds and gardens.
  • Monitors and ensures contractor compliance for credit union contracts, including but not limited to landscape, janitorial, HVAC, carpet, elevator, and snow removal.
  • Schedule’s buildings/maintenance. Call’s managers/branch staff to communicate work response schedule.
  • Seeks, reviews and submits for approval any bids needed for facilities management.
  • Autonomy to manage an approved budget for maintenance services and minor capital projects. In addition, has autonomy to manage the day-to-day work of contractors, within the terms and conditions of their employment or engagement.
  • Coordinate with cleaning contractors to ensure a high standard of cleaning.
  • Arrange and coordinate special cleaning as needed.
  • Maintains adequate inventory of maintenance products used in all buildings.
  • Responds to telephone and/or teams messages from staff for emergency assistance.
  • Respond to requests for maintenance work in an orderly and timely way, establish priorities, provide feedback to management regarding status of works undertaken.
  • Key contact for after-hours security or fire alarm incidents and for emergency maintenance events such as a burst pipe or storm damage, on-site attendance to these matters as appropriate.
  • Maintenance of utility services including water, gas, electricity, sewerage, drainage, and rubbish removal.
  • Liaise with local government authorities regarding buildings and environment issues as appropriate.
  • Movement, repair and replacement of furniture. Furniture (procurement, installation, maintenance, and retirement schedule).
  • Handy-man activities as needed for all facilities
  • Vendor evaluation, monitoring, and management for assigned vendors.
  • Security (at main and branch offices).
  • Ensure that effective security systems are properly installed, tested and operational at all times.
  • Maintain written Operating Procedures for all functions under the control of the position.
  • Directly responsible for compliance with laws, regulations, and internal controls for all functions under the control of the position.
  • Research and present recommendations on innovations which will enhance operations and efficiency.
  • Collaborate with the Director of IT and department managers on work priorities.
  • Other duties as assigned.
  • Community involvement: Paid Volunteer Hours- Each eligible employee is required to have 3 hours within the current Annual Performance Review cycle. These can either be 3 concurrent hours or nonconcurrent. Unpaid Volunteer Hours- As a qualifier for the balance scorecard profit-sharing plan employees will need to complete 3 volunteer hours unpaid per year for the balance scorecard.

  • Proven project management skills, delivering results on time and within budget.
  • Ability to thrive under pressure and prioritize tasks effectively.
  • Proficiency in computer literacy.

Job Type: Full-time

Pay: $20.00 - $24.00 per hour

Expected hours: 40 per week
