SUMMARY OF JOB:
Responsible to check guests in and out, handle reservations, response to information requests, rates, complaints with emphasis on above standard customer service to all guests of Hotel. Must be extremely detail conscious and have a pleasant personality in order to maintain cheerful, courteous sales technique and above standard customer service. Must have ability to perform well in multi-task situations.
QUALIFICATIONS:
Some experience in customer service. Some computer experience. A willingness to follow procedures, complete tasks in a timely, accurate, and efficient manner, maintain proper attendance, and comply with company policies.
PHYSICAL DEMANDS:
Long periods of standing, stooping and bending.
ESSENTIAL DUTIES & RESPONSIBILITIES:
· Greet guests, assist in checking guest into hotel, collect and post payments and key deposit, issue room keys, provide directions to room. Describe all features of property to guest.
· Rent rooms to customers off the street and over the telephone, providing proper rates and deposit instructions. Send reservation confirmation where appropriate.
· Adhere to Department procedures and policies regarding collection, recording, balancing and submitting money from sales.
· Utilize appropriate sales pitches, special promotions to attain Company goals and participate in commission programs.
· Maintain accurate inventory of rooms in computer. AM shift to assign rooms and prepare departures. Check balance on departures for accuracy.
· Assist Sales & Marketing Department in servicing meeting or convention groups.
· Keep open communication with other Departments in order to provide an efficient turnover of rooms, advising of stayovers, early departures, room moves, early check-ins, etc.
· Complete necessary communication logs. Communicate information orally and/or in writing to following shift(s).
· All guest requests and complaints should be logged, where applicable.
· Present a well-groomed, professional appearance, including adhering to uniform regulations; practice good personal hygiene at all times.
· Attend meetings as scheduled for training and informational purposes.
· Extend hospitality and courtesy to guests and other employees.
· Responsive to guests inquiries, concerns, complaints in a friendly, courteous, helpful manner.
· Report property maintenance, equipment problems to Engineering for repair.
· Advise department heads when deliveries/pick-ups are being made for their departments.
· Answer incoming business calls and transfer them to the appropriate staff member, or take messages; dispatch them as needed.
· Report suspicious activity. Provide security for guests by never releasing room numbers or giving keys to unregistered guests.
· Provide availability of and access to safety deposit boxes and/or keys to guests requiring them. Keep accurate and up-to-date written record of when and who accessed security box, where applicable. Maintain same information for room safe and safe keys deposits/refunds.
· Provide any requested amenities to guests (examples: sewing kits, toothpaste, toothbrushes, etc.)
· Check telephones; turn off phones in vacant rooms or on cash account. Do on each shift at end of day.
· Process any Central Reservations (depending on property) that print up during your shift.
· Maintain adequate amount of Front Desk forms and office supplies at all times.
· Handle wake up call requests.
· Observe all safety rules; employ safe work practices when performing job; use personal protective equipment as needed; maintain safe, organized and sanitary working environment.
· Perform other tasks as assigned by management.
