Job description

The Bookkeeper is responsible for in-house bookkeeping, financial assistance protocols and disbursement, grant and donor support, among other listed activities. They will be accountable and responsible for specific projects as assigned. They need to be familiar with, reflect, and work within the policies, values and mission of the organization. They must interact positively and respectfully with people of all ages, cultural and demographic backgrounds.

Duties and responsibilities

General

  • Commitment to interacting positively and respectfully with people of all ages, cultures and demographic backgrounds.

  • Be familiar with and abide by the Employee Manual
  • Ability to work independently and as part of a team

Bookkeeping

  • Completing all bookkeeping tasks on the accrual basis prior to the monthly reconciliation performed by the accounting agency
  • Entering bills into Quickbooks Online
  • Making prompt payments for financial assistance to clients
  • Receiving payments, depositing checks, billing for services, and recording and retaining records of transactions
  • Coordinate directly with our accounting agency (Deep Roots Business Solutions) for training and support as necessary
  • Provide all bank and credit card statements, financial records, etc. to our accounting agency, board and Director as needed
  • Submit and track monthly and quarterly invoices through online grant systems
  • Maintain awareness of checking and credit card balances as needed for agency function

Program Support

  • Review supporting documentation for financial assistance applications
  • Organize and maintain process for distribution of passthrough funding
  • Report housing assistance funds to team and weekly staff meetings
  • Obtain and process mail on a bi-weekly basis
  • Obtain and distribute gas cards for team and vehicles on a monthly basis
  • Order supplies as directed

Grant Support

  • Responsible to enter grant invoices into QuickBooks Online
  • Coordination with grant funders and contracts
  • Maintain compliance with grant requirements
  • Obtain financial data needed for grant writer; coordinate with accounting agency as needed
  • Submit monthly, annual and closing grant reports; coordinate with accounting agency as needed to generate financial data for grant reporting

Donor Management

  • Donor communication and thank you’s
  • Input of transactions into donor management software
  • Receiving, processing and transferring of payments
  • Generation of tax statements or other donor statements

State and agency requirements

  • Ensure State reporting requirements are met
  • Coordinate agency insurance needs with insurance company

Other Duties (10%)

  • Attend staff, admin, and accounting meetings
  • Applicable training for development
  • Assist Executive Director with special projects as needed
  • Occasional travel for banking and gift card needs
  • Periodic support at Thrive events, including annual film festival

Qualifications

  • Quickbooks online proficiency is highly recommended. Additional training and support provided
  • Strong computer and Excel proficiency required
  • Proficiency with Google Suite (Google Drive, Sheets, Calendar & Gmail)
  • Prefer 1 year of experience
  • Effective oral and written communication skills
  • Exceptional attention to detail
  • Ability to prioritize and manage time efficiently

Compensation

  • This is a .75 FTE position (M-F, 9-3:00)
  • Rate of pay $26.03/ hour entry, DOE
  • Health insurance is available for employees on the 1st of the month after hire: 100% premium paid for medical, vision and dental. (Current annual value of $5,293).
  • Retirement plan option. Up to 5% match through employer in the first year of employment, available the first of the month following the introductory period of 60-days.
  • Paid holiday/ vacation/ sick time following the introductory period of 60-days: approximately 3 weeks PTO (includes sick time), plus 12 holidays
