Office Setup and Manager

Location: 525 3rd Street, Suite 200, Lake Oswego, OR 97034

Position Overview:
The Office Setup and Manager will be responsible for establishing and managing the day-to-day operations of our new office in Lake Oswego, OR. This role involves setting up the office space, managing administrative tasks, overseeing financial management, and ensuring a smooth operation of all office functions. The ideal candidate will be a self-starter with excellent organizational skills, proficient in both Korean and English, and capable of handling a wide range of administrative and executive support related tasks.

Key Responsibilities:

  • Oversee the setup of the office, including the procurement of office supplies, equipment, and furniture.
  • Develop and implement office policies by setting up procedures and standards to guide the operation of the office.
  • Manage administrative tasks including scheduling, correspondence, and maintaining filing systems.
  • Handle financial tasks such as budgeting, payroll, and invoicing.
  • Serve as the main point of contact for office maintenance, mailing, shipping, supplies, equipment, bills, and errands.
  • Organize and schedule meetings and appointments.
  • Partner with HR to maintain office policies as necessary.
  • Coordinate with IT department on all office equipment and software requirements.
  • Facilitate internal communication by translating documents and interpreting during meetings as needed (Korean/English).
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
  • Manage office G&A budget, ensure accurate and timely reporting.

Qualifications:

  • Proven office management, administrative, or assistant experience.
  • Knowledge of office management responsibilities, systems, and procedures.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills in both Korean and English.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
  • Bachelor’s degree in Business Administration or a related field preferred.
