The Walman Optical Company is Hiring a HR Coordinator / Executive Assistant Near Minneapolis, MN

We currently have an immediate full time opening for an HR Coordinator / Executive Assistant. This is an excellent opportunity for you to join our HR team in a key position!

Job Summary

The HR / Executive Assistant coordinates the day-to-day HR processes, ensures excellent service to our customers and collaborates with HR team members on projects. In addition to being the primary point of contact in HR, this position provides support for payroll, leave of absence, workers compensation, and new hire processing. The position will also support the President of Walman as an executive assistant by scheduling meetings and managing employee notices. This position offers the opportunity to interact with all employees and participate in other special HR projects.

Position Responsibilities:

  • Coordinate day-to-day human resources processes to ensure the HR office functions effectively and efficiently. Primary point of contact for HR questions, mail, and email.
  • Administer HR’s SharePoint site and manage HR documents.
  • Ensure overall data integrity by maintaining accurate HR files and systems. Maintain and update employee records/files.
  • Provide support for leave of absence and workers compensation including providing communication, documentation, tracking and follow-up to ensure accurate employee information, timely response, and compliance.
  • Manage personnel files and records including electronic files, I9 documentation, employee ID system, employee eyewear benefit.
  • Support payroll with time and attendance review, employee status changes and termination processes.
  • Provide executive support to the President of Walman.
  • Perform various other HR projects.

Experience/Qualifications

  • Associate’s Degree and at least three (3) years HR experience, or an equivalent combination of education and experience
  • Excellent communications skills with a proven ability to work effectively with all levels in the organization and diverse population.
  • Experience with Microsoft Office (Word, Excel, PowerPoint), Outlook, Teams, and HRIS data entry/reporting.
  • Must be proactive, organized and detail-oriented, with the ability to multi-task in a fast-paced environment.
  • Strong time management, verbal and written communication skills, and ability to deliver exceptional service in a timely manner.
  • Must be able to process sensitive information and maintain confidentiality.
