POSITION: Dental Clinic Coordinator

DEPARTMENT: Dental Clinic

RESPONSIBLE TO: Director of Speech Therapy.

PURPOSE: The Dental Clinic Coordinator performs procedures and duties as assigned by the Director of Speech Therapy to afford each resident maximum benefits in oral/dental health and hygiene.
Clinical Key Responsibilities:

  • Must hold valid Dental X-Ray certification; take X-Rays with digital X-Ray imaging software/Dexis/Nomad/care for dental X-Ray equipment.
  • Proficient in using Dentrix/Dental software electronic record keeping.
  • Maintain all dental equipment.
  • Understand use and maintenance of mechanical dental lift; prepare residents for dental work - position resident appropriately and operate mechanical lift ensuring safety and functionality.
  • Adhere to TVH Infection control policies; sterilize and disinfect instruments utilizing OSHA compliance; prepare applicable materials for assigned dental procedures.
  • Assist students and dentists with dental procedures to include routine dental hygiene/annual exams, simple surgical extractions, multi-surface fillings, crowns, and denture adjustments, etc.
  • Assist staff dentists with dental medical emergencies if necessary.
  • Maintain suction and air driven systems for chairside laboratory; flush and lubricate equipment.
  • Maintain supplies for resident need on the floors; prove prescription toothpaste, electric/manual/suction toothbrushes, dental swabs and special adaptive oral care equipment.
  • Operate and maintain air purifying system.
  • Assist dental hygiene professionals with procedures, when necessary
  • Call resident family members when necessary for scheduling or other needs.
  • Coordinate In-servicing on Best Hygiene and Dental practices by collaborating with VCU School of Dentistry and TVH nursing staff.
  • Complete all dental/administrative duties as assigned.

Administrative Responsibilities:

  • Order and maintain dental supplies/equipment inventory/work closely with community dental representatives to keep the dental clinic fully functional.
  • Create and maintain online accounts for dental clinic supplies.
  • Maintain an active list of resident current dental status.
  • Coordinate and facilitate weekly schedule for resident appointments/procedures and alert Nursing Administrative Assistant of dental appointments needed outside the facility.
  • Create and post reminders of resident upcoming appointment for nursing and residents.
  • Communicate appointed schedule with appropriate departments by email/posting Reminders/Notes in Charting Room.
  • Maintain list/request PRN medication for residents with special needs.
  • Work closely with tech support to maintain functions within dental lab.
  • Maintain emergency procedures and manuals.
  • Post and Maintain state licenses for our dental professionals/ensuring they are up to date.
  • Maintains consent forms for all residents who participate in the clinic.
  • Create and maintain post-op instructions/referrals/dental procedure book.
  • Maintain a current certificate of OSHA compliance in the dental lab (annually).
  • Oversee recorded patient information in Dentrix.
  • Provide access to patient medical records in PCC for attending students and dental professionals.
  • Facilitate Plan of Care for dental procedures as prescribed by staff dentists.
  • Oversee office activities and provide direction to attending dental students and dental professionals.
  • Ensure residents attend appointments/document cancellations/ create flexibility with last-minute adjustment.
  • Respond efficiently to resident and dental need/inquiries.
  • Meet weekly with the Dental Clinic Supervisor to identify areas of improvement and concerns/report/advise appropriate corrective action.
  • Organize supplies purchased.
  • Implement equipment upgrades.
  • Create necessary operational expenses.
  • Maintain the appearance and functionality of the dental office.

  • Ability to manage time to complete assigned duties.
  • Excellent verbal and written communication skills.
  • Able to work effectively with a variety of disciplines in an individual and team setting.
  • Working knowledge/basic computer skills in Dexis, Dentrix, Microsoft Office, electronic communication, and an electronic medical record.
  • Communicates in English, both verbally and in writing.
  • Consent to TST (tuberculin skin test), pass a criminal background check, pre-employment drug screen, and provide proof of Influenza vaccination.
  • Ability to comply with facility infection prevention measures.
  • Uses professional judgement to ensure safety of self, patients, and others always.

Training and Experience:

  • Current Dental X-Ray Certification.

Physical Requirements:

  • Ability to push a wheelchair.
  • Standing for long periods of time.
  • Ability to perform some lifting and bending.
  • Ability to bend, squat, push, stoop, and pull as needed especially in fulfilling patient care activities.
