Job Description

We’re hiring for a part-time Birth Certificate Registrar for the Mother Baby unit at the University of Chicago Medicine in Hyde Park, Illinois!

Job Summary:

Processes official paperwork related to births, such as birth and death certificates, paternity acknowledgement or denial forms, social security and other forms associated with State vital records requirements. Communicates and manages information in a sensitive and efficient manner.

  • Processes documents pertaining to the birth process: Obtains daily birth census. Conducts a face-to-face interview in order to obtain necessary information for processing of birth and death certificates.
  •  Distributes and prepares multiple forms, includingbirth record certificate, and paternity information. Ensures and obtains necessary signatures as required for all documents pertaining to births.
  • Inputs data into computer for State's electronic birth certificate process on a daily basis. Prepare and scan entered birth certificate applications into computer daily. Demonstrates appropriate utilization of clerical supplies and equipment in a cost-effective manner.
  • Maintains an organized and uncluttered work area. Communicates with individuals, departments, and agencies: Conducts personal interviews with parent(s). Effectively interacts with spouses, significant others and families during sensitive and crisis situations.
  • Arranges for an interpreter, if necessary. Informs unmarried parents of rights and on how to establish paternity. Promptly answers incoming calls. Interacts with State and County officials regarding new laws and requirements. Effectively communicates with necessary parties to resolve issues as they arise. Represents department at meetings on matters relating to vital statistics. Promotes, has knowledge of and utilizes appropriate patient care protocol relating to the physical, psychosocial, and developmental needs of neonatal, pediatric, adolescent, adult, and geriatric patients. 
  • Assists with the orientation of new employees. 
  • Assesses own need for personal/professional growth and development. Attends educational programs to enhance job performance. Promotes the growth and development of others by participating in unit orientation/recruitment of new employees. Takes initiative in seeking feedback on performance and responds appropriately to constructive feedback given.

Required Qualifications

  • High school diploma required.
  • Some college course preparation preferred.
  • Good knowledge of computer keyboard and on-line electronic information systems, accurate typing skill at 35 wpm or better Microsoft Office, internet and basic medical terminology 
  • Skill in maintaining records and files
  • Effectively communicate with medical professionals, peers and families 
  • Good interpersonal skills and ability to maintain confidential, sensitive information
  • Ability to prioritize multiple tasks and schedule work to meet deadlines.
  • At times, will have to walk to Labor & Delivery, Medical Records & occasionally CCD 

Position Details

  • Job Type/FTE: Part-time (0.6)
  • Shift: Day shift, 8 hours, every other weekend required
  • Unit/Department: Mother Baby
  • CBA Code: 743 Clerical

In this role, we anticipate that you will generally work approximately 24 hours per week. We anticipate that you will generally be scheduled to work the Day shift, from approximately 8:00am - 4:30pm and will not be scheduled for on-call shifts. We anticipate you will be scheduled to work 100% at the DCAM campus. We expect you will be scheduled to work every other weekend. 

Must comply with UCMC’s COVID-19 Vaccination requirement as a condition of employment. If you have already received the vaccination, you must provide proof as part of the pre-employment process. This is in addition to your compliance with the Flu Vaccination requirement as well. Medical and religious exemptions will be considered consistent with applicable law. Lastly, a pre-employment physical, drug screening, and background check are also required for all employees prior to hire.
