Position Description Summary/Purpose:
Reporting to the Executive Director, the Administrative Coordinator, School of Nursing provides a wide variety of critical and professional support to the School of Nursing (UBSN).
Essential Job Functions/Primary Responsibilities:

Coordinate office services including orientation, coordination and supervision of Administrative Assistant and student employees
Process program requisitions and ensure the program budget records are in good order
Organize and maintain the program files and expense reports
Assist the Program Directors in the coordination and production of information related to program accreditation application and self-study
Support coordination of program orientation for incoming students and distribution of information to UBSN students
Facilitate compilation of data on graduates, students and applicants
Manage the organization and logistical aspects of the program admissions process
Coordinate with building manager to resolve UBSN issues and work orders, update department information
Compile and distribute minutes of UBSN faculty meetings
Process conference and classroom space requests
Assist with organization of UBSN pinning ceremony
Assure that program publications are current, consistent, and accurate
Monitor (and update) the program website/portal page for accuracy
Answer Department telephone and triage messages as needed
Assist in monitoring of department budget including related travel expenditures and arrangements
Order clinical supplies and office supplies, create purchase requisitions
Such other responsibilities as may be assigned by the Executive Director
Conducts all work in a safe manner and all work safety practices are followed.
Other Functions:
Performs similar or related work as required, directed or as situation dictates.
Continues professional development and training; keeps current with trends.
Assists other department staff as needed to promote a team effort.

Strong organizational skills to include the ability to manage multiple projects simultaneously, prioritize tasks, and complete assignments within expected timeframes

Must take initiative and have strong follow up skills.
Must possess creative thinking and reasoning abilities to be able to resolve complex problems that may require the evaluation of alternative methods or solutions.
This position requires a “team-player” orientation to work with a broad range of internal and external constituents including students, faculty and staff.
Effective use of technology including previous experience using database management (Access) and spreadsheet software (MS Office Suite); knowledge of electronic desk top publishing and image creating software is a plus.
Minimum Required Qualifications:
Education, Training and Experience:
Bachelor’s Degree preferred but will accept equivalent combination of training and experience, preferably in a related field.
3-5 Years of progressively responsible experience in and administrative role
Experience in higher education and/or a clinical environment is preferred.
