Description

Portfolio Property Manager

The Tiehen Group is seeking a Property Manager to oversee a Portfolio of River Market and Plaza apartment communities totaling 350 units. This position will office onsite and travel between the Plaza and River Market offices.

Job Description: You will be hired as a Portfolio Property Manager for The Tiehen Group. You will oversee the entire range of property management operations for your assigned Properties. This includes successful administration of operations, budget execution, team performance and development, supervise and direct the on-site property management team and staff, ensure the assets under your charge are performing at maximum potential. Maintaining positive relationships with, team, residents, vendors, and clients through effective communication, leadership, and problem solving is paramount. As a representative and leader of The Tiehen Group, you will report to and work closely with the Executive team, to ensure effective and standardized operations are carried out throughout the organization. This includes leveraging your prior experience to advance our existing policies, processes, and procedures, as well as develop new strategies to elevate Tiehen Group’s level of professional property management services.

Primary Responsibilities (Including but not limited to):

• Oversees and directs apartment property management operations and activities for assigned portfolio.

• Supervises and directs the on-site property management team and staff. This includes strategizing short-term and long-term goals that will contribute to the overall successful operations of the properties and staff. Conducts continual enhancement of staff education and training through internal and external teaching seminars and meetings.

• Work with staff to ensure maximum use of Tiehen Groups technology platforms including: AppFolio, Microsoft Office, and Egnyte.

• Prepares annual management budgets, approved by The Executive Team.

• Monitor and evaluate current team members and facilitate the release of any team members who are not performing according to company practices and standards.

• Develop and maintain positive owner relations. Understand ownership goals and objectives for each property and manage to achieve desired outcome.

• Establish and maintain strong professional relationships with on-site personnel. Use effective communication skills and problem-solving techniques to respond to personnel issues in a timely manner.

• Create, implement, and maintain employee bonus and incentive programs for each property.

• Create and implement best practices for marketing, leasing, retention, and clean and green. 

• Ensure timely collection of rents, follow up on delinquent payments.

• Work closely with accounting to ensure accurate financial statements and prepare monthly operating reports with narratives and variance comments for ownership.

• Work closely with accounting in preparing and reviewing annual property year-end expense reconciliations and annual operating budgets.

• Regularly inspect property, common areas, base building areas and grounds to ensure a high level of maintenance, regularly interfacing with internal staff and vendors to maintain highest standards.

• Participate in the performance oversight of all service contractors who perform building services.

• Coordinate all property maintenance and improvements. Negotiate contracts and supervise vendors serving the property.

• Coordinate with the building technicians and/or direct vendors as appropriate.

• Thoroughly review and approve vendor contracts & invoices.

• Obtain bids and draft vendor contracts as appropriate.

• Track Certificates of Insurance for vendors.

• Review and approve leases.

• Coordinate marketing events with on-site staff.

• Ensure all property files are prepared and maintained in orderly and logical manner, including leases and contracts.

• Model the highest standards of professionalism; support the training and development of team members through onboarding and coaching.

• Create accountability and ownership among team members through communication of clear expectations, supervision, and provision of timely performance feedback. 

• Ensures all internal and external reporting deadlines are met. 

• Coordinate, prepare, and review all ad hoc and regularly scheduled reports and requests for information from clients or company leadership; ensure all requisite information is accurate and available within required timeframes. 

• Develop and enhance property management policies, procedures, and systems in order to improve the overall effectiveness of operations, including implementing items as required or recommended by The Executive Team.

• Lead implementation and training efforts to ensure standard operating procedures and property management workflows are adopted throughout the organization. 

• Ensure operational compliance with all applicable local, state, and federal laws and regulations.

• Complete special projects as required, such as new property on-boarding and setup, new system implementation.

Qualification Requirements:

• Four (4) years’ experience in property management. Must have a strong working knowledge of leasing, marketing, construction, residential law, and resident relations. 

• Strong managerial skills required to supervise and motivate onsite staff. 

• Working knowledge of property management software; AppFolio is preferred.

• Working knowledge of Microsoft Office Word, Excel, Outlook.

• Ability to analyze a monthly financial statement and prepare detailed budgets and operating forecasts. Ability to note deviations from financial plan, determine causes and provide recommendations to the company on required action plans.

• Strong written and verbal communication skills. Ability to understand and carry out industry specific written and oral directions. Positive, innovative approach to problem solving. Presents ideas in a clear, concise, understandable, and organized manner; negotiate, persuade, and modify opinion to reach the goals/objectives of the organization.

• Ability to work independently as a project leader and team member. Ability to relate well with others even while working at a distance or remotely.

• Ability to work in an efficient manner with a high level of accuracy, attention to detail, and follow through.

• Must be able to provide exceptional customer service and interact compassionately, professionally, and patiently with people of all demographics. 

• Excellent time management and general organization skills.

• Neat, professional appearance. Strong client relations skills and previous supervisory experience is required.

• Real Estate license preferred

Compensation:

• Salary to be agreed on commensurate with skills and experience.

• Company standard vetting requirements are mandatory.

• Commissions and bonus’s will be paid according to pre-established portfolio commission structure.
