Responsibilities:
- Greet clients and visitors in a professional and friendly manner
- Answer incoming phone calls and direct them to the appropriate attorney or paralegal
- Schedule appointments and maintain calendars for attorneys
- Manage and organize legal documents, including filing, scanning, and indexing
- Prepare and proofread legal correspondence and documents
- Complete Intakes and send questionnaires to clients
- Notarize Legal Documents, Prepare Hearing Notices and Letters
- Assist with general administrative tasks such as photocopying, faxing, e-filing and mailing
- Maintain a clean and organized reception area, conference rooms, and breakroom
Skills:
- Strong administrative skills with attention to detail
- Excellent organizational skills to manage multiple tasks and deadlines
- Proficient in proofreading legal documents for accuracy and completeness
- Data entry skills with a high level of accuracy
- Ability to handle confidential information with discretion
- Experience in file management and organization
- Familiarity with mycase, clio, or other billing software a plus
- Computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent communication skills, both verbal and written
- Professional demeanor when interacting with clients, visitors, and staff
